Position Description The Donor Relations Assistant plays a critical role in the success of Voter Choice Arizona and Better Ballot Arizona by managing and enhancing relationships with current and potential donors. This position supports the organization's fundraising efforts by ensuring effective communication, timely follow-up on commitments, and ongoing engagement with the donor base. This position requires strong organization and attention to detail. Donor Engagement and Fundraising Support • Conduct ongoing outreach to establish and nurture relationships with potential and current donors using a mix of emails, calls, and texts. • Strategize with the Executive Director and implement plans to initiate or enhance donor giving, focusing on both one-time and recurring contributions. Manage post-meeting follow-ups to ensure commitments are carried out. • Schedule and coordinate meetings between donors and the Executive Director. Utilize AI tools for meeting summaries to identify and execute necessary follow-up actions. • Maintain regular contact with donors through follow-ups, updates, and communications that keep them informed and involved with the organization's activities and needs. This ongoing engagement is crucial to building lasting relationships. Communication and Administrative Support • Prepare and distribute communications including updates, newsletters, physical mail, thank you letters, and solicitations to engage the donor base. • Provide brief weekly updates and detailed monthly summaries of activities and progress to the Executive Director. Assist in developing additional communication materials as required. • Maintain accurate and up-to-date donor information in the fundraising CRM systems and log all donor interactions to ensure comprehensive tracking of communications and outcomes. • Manage the execution of follow-up actions post-meetings to enhance donor relations and maintain engagement. Key Performance Indicators (KPIs) • Number of donor interactions and follow-ups completed. • Total funds raised monthly, quarterly, and annually. • Number of new and recurring contributors. • Dollar amount of lapsed donors and re-engagement of lapsed donors. Compensation & Schedule • $1,600-2,400/ month, depending upon experience. • 20 hours weekly- Primarily flexible & remote. Less than 10% of work inin-person meetings in the Phoenix area with the Executive Director. Office coworking spaces are currently available for team use.
