About the Role

As a Remote Customer Service Representative at arenaflex, you will serve as the frontline connection between our clients and their travel plans. You'll handle incoming calls from customers who are navigating changes, cancellations, confirmations, and everything in between. This is not your typical call center job — you'll be empowered to make decisions, solve real problems, and deliver memorable service experiences.

Our representatives assist with hotel, rental car, and flight reservations, providing solutions that range from simple itinerary confirmations to complex multi-leg travel adjustments. You'll be trained to handle a variety of customer scenarios with confidence, empathy, and professionalism. This role is fully remote, allowing you to work from the comfort of your own home while enjoying flexible scheduling that adapts to your life — not the other way around.

Key Responsibilities

  • Answer Incoming Calls: Serve as the first point of contact for customers calling to modify, confirm, or inquire about their travel plans.
  • Review Customer History: Access and analyze past interactions, preferences, and booking details to provide personalized service and informed solutions.
  • Assist with Travel Modifications: Help customers change flights, adjust hotel reservations, modify rental car bookings, and navigate itinerary changes.
  • Provide Itinerary Information: Confirm, retrieve, and clearly communicate travel itineraries to customers via phone and electronic follow-up.
  • Process Refunds: Evaluate refund eligibility based on policy guidelines and process refunds accurately and efficiently.
  • Solve Travel Issues: Address customer concerns related to cancellations, delays, booking errors, and unexpected travel disruptions.
  • Coordinate with Travel Partners: Place outbound calls to hotels, rental car agencies, airlines, and other travel partners as needed to resolve customer issues.
  • Document Interactions: Accurately record all customer interactions, outcomes, and relevant details in the company's CRM system.
  • Follow Policy and Procedure Guidelines: Adhere to company protocols while delivering service that exceeds customer expectations.
  • Deliver Exceptional Service: Represent arenaflex and our travel partner brand with professionalism, warmth, and expertise on every call.

Essential Qualifications

  • Prior Customer Service Experience: A minimum of one year of customer-facing experience in a professional setting is required.
  • Strong Geographical Knowledge: A solid understanding of US geography, major cities, landmarks, and travel hubs is essential for assisting with travel planning.
  • Excellent Communication Skills: Clear, professional verbal communication and active listening are critical for success.
  • Computer Proficiency: Highly skilled in navigating multiple applications simultaneously, including internet browsers and internal systems.
  • Typing Speed: Strong typing skills with the ability to document conversations accurately while engaging with customers in real time.
  • Self-Directed Work Ethic: Able to work independently, stay motivated, and manage time effectively in a remote environment.
  • Problem-Solving Ability: Capable of thinking on your feet and making sound decisions that benefit the customer and the company.

Preferred Qualifications

  • Travel Industry Experience: Previous work in the travel industry or personal experience using travel booking platforms (flights, hotels, rental cars) is highly valued.

arenaflex contracts with residents in 34 states across the United States. We are currently unable to contract with candidates residing in the following states and districts: Arkansas, Arizona, California, Colorado, Connecticut, District of Columbia, Illinois, Massachusetts, Maryland, Maine, Missouri, New Jersey, New York, Oregon, Rhode Island, Vermont, and Washington. We do not currently contract with individuals outside of the United States.
