Key Responsibilities

Client Interaction & Support

  • Serve as the primary point of contact for clients enrolled in the Impact Client Support program, providing timely, courteous, and accurate information.
  • Coordinate communication between clients, certified repair technicians, and the body shop to ensure seamless service delivery.
  • Manage client inquiries via phone, email, and chat, documenting each interaction in the CRM system.

Operational Planning & Coordination

  • Develop and maintain detailed work plans for each vehicle repair, tracking milestones from intake to final delivery.
  • Facilitate the scheduling of rental vehicles, ensuring clients have reliable transportation while their cars are being serviced.
  • Oversee the ordering and replenishment of parts, materials, and supplies needed for body shop operations.

Quality Assurance & Documentation

  • Conduct visual inspections and verify that vehicle appearance meets arenaflex’s stringent standards before release.
  • Prepare and distribute post‑repair surveys to capture client feedback and identify areas for continuous improvement.
  • Maintain accurate records of all service activities, including repair notes, parts usage, and client communications.

Collaboration & Continuous Improvement

  • Work closely with the Impact Program team to refine processes, reduce turnaround times, and enhance overall client experience.
  • Participate in regular training sessions, sharing insights and best practices with peers across the organization.
  • Identify opportunities for automation or workflow enhancements and propose solutions to leadership.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Communications, Automotive Technology, or a related field.
  • Demonstrated experience in customer service, preferably within the automotive or insurance sectors.
  • Strong verbal and written communication skills, with the ability to convey complex information clearly and professionally.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM platforms.
  • Ability to work independently in a remote environment while adhering to strict performance metrics.
  • Comfortable operating in a fast‑paced, crash‑shop atmosphere and managing multiple priorities simultaneously.
