Vantage is seeking a Virtual Administrative Assistant to oversee various training logistics both internally and externally and support our small team with standard administrative tasks. This is an hourly, part-time as-needed position working 15-20 hours per week depending on client training demand and internal need. We are seeking an administrative assistant with experience coordinating... scheduling with clients and who has proficiency with MS Teams and Zoom platforms (MS Teams preferred). The Administrative Assistant will interface with clients, prepare professional documents, manage scheduling, and be able to prioritize tasks. The Administrative Assistant can be located anywhere in the US with a reliable, secure, high-speed internet connection, with a strong preference for someone who is located on the East Coast. Job Responsibilities: · Invitations and Meeting Coordination: Organize and send MS Teams/ Zoom invitations and reminders. · Document Preparation and Copy Editing: Draft, edit, and format professional documents including email, Outlook training schedulers, Work Orders, training materials, and other documents with accuracy and attention to detail. · Task Prioritization: Juggle multiple tasks, shifting priorities as needed, to ensure all administrative functions are running smoothly. · Client and Internal Team Communication: Respond to routine client and internal team requests and inquiries; manage correspondence on behalf of the organization, support internal team members with administrative needs and ensure Vantage files are maintained and up to date. · Meeting Preparation: Prepare agendas, gather necessary documents, and ensure all required information is ready for meetings. Occasionally take notes for client meetings as needed. Required Skills/Experience: · Proficiency in Microsoft Office (Word, Excel, PowerPoint). Familiarity with Sharepoint. · Two plus years of administrative assistant experience, bonus points if you've worked in training and development previously. · Excellent verbal and written communication skills · Ethics and ability to manage your time effectively in a remote setting · Excellent attention to detail, ensuring accuracy in all work, but especially with client facing work like calendar invites, document preparation, and emails Location: Remote with a strong preference for someone on the East Coast Job Type: Part-time Pay: From $20.00 per hour Expected hours: 15 – 20 per week Experience: • Microsoft Excel: 1 year (Preferred) • Microsoft Powerpoint: 1 year (Preferred) Work Location: Remote Apply Job!
