About the Role

The Customer Experience Chat Support Associate at arenaflex is responsible for engaging directly with our vibrant and rapidly expanding community of veterinary professionals. In this pivotal role, you will support critical purchasing decisions, troubleshoot platform issues, and ensure that every interaction reflects the excellence, warmth, and professionalism that define the arenaflex brand.

Members of our support team work collaboratively across multiple communication channels — including live chat, phone calls, email, internal discussion boards, and live platform demonstrations — to deliver an outstanding experience for every user who interacts with our platform. Whether you are guiding a veterinarian through their first order, helping a practice manager streamline recurring supply purchases, or troubleshooting a technical issue, your contributions will directly impact the efficiency and effectiveness of veterinary care delivery nationwide.

Key Responsibilities

  • Multi-Channel Customer Support: Respond promptly and professionally to user inquiries via live chat, email, and phone, providing timely and accurate assistance to veterinary professionals using the arenaflex platform.
  • Issue Resolution and Troubleshooting: Diagnose and resolve platform-related issues quickly, explaining scenarios and solutions in a clear, concise, and easily digestible manner that empowers users to move forward with confidence.
  • Account and Administrative Management: Handle a variety of daily and weekly administrative responsibilities, including proactive account management, item issue reporting, item reviews, credit approvals, and other operational tasks that ensure seamless platform performance.
  • Cross-Functional Collaboration: Work closely with arenaflex’s engineering, partner, and corporate teams to share user feedback, feature requests, and recommendations for platform enhancements and process improvements.
  • Vendor and Partner Communication: Collaborate with vendor and industry partners to streamline communication channels, resolve integration issues, and ensure timely alerts and updates between systems.
  • Process Development and Optimization: Contribute to the continuous development and expansion of support workflows, documentation, and best practices that enhance team efficiency and elevate the overall customer experience.
  • Community Engagement: Act as a trusted advisor and brand ambassador, fostering positive, long-term relationships with veterinary professionals and helping to grow and engage our user community.
  • Continuous Learning: Stay current on product features, industry trends, and best practices in customer support to deliver knowledgeable and informed assistance.

Essential Qualifications

  • Educational Background: A two-year Associate’s degree or a four-year college degree from an accredited institution.
  • Professional Experience: A minimum of one year of relevant, customer-facing work experience in a support, service, or related role.
  • Communication Excellence: Outstanding written and verbal communication skills, with the ability to convey complex information clearly, empathetically, and effectively.
  • Adaptability and Multitasking: The ability to adapt quickly to changing priorities, manage multiple concurrent responsibilities, and thrive in a fast-paced, dynamic environment.

  • Prior experience in chat support or familiarity with live chat platforms such as Intercom, Zendesk Chat, or similar tools.
  • Experience working in a technology startup, eCommerce, or SaaS environment.
  • Familiarity with veterinary, healthcare, or animal health industries.
  • Experience using CRM platforms, help desk software, or customer support ticketing systems.
  • Demonstrated ability to identify process improvement opportunities and contribute to operational excellence.
