About the Role – First Shift Customer Service Center Coordinator
This is a full‑day, first‑shift position (approximately 6:00 AM – 7:00 PM) that plays a critical role in ensuring our customers receive prompt, professional, and reliable service. You will be the primary point of contact for emergency calls, dispatch coordination, and documentation for Retail Commercial Services & Support. Your ability to manage high‑volume call traffic, prioritize urgent service requests, and support field technicians will directly influence the safety, efficiency, and satisfaction of our clients.
Key Responsibilities
- Dispatch & Coordination: Receive, log, and prioritize emergency and routine service calls, ensuring accurate and timely dispatch of field technicians across the Smart Buildings, Automation, Fire Alarm, and Security product lines.
- Scheduling: Organize and schedule field service activities, balancing customer expectations, resource availability, and service level agreements.
- Documentation: Maintain detailed records of all service requests, dispatches, and follow‑up actions in our enterprise system (formerly SAP, now integrated into the arenaflex platform).
- Customer Communication: Serve as the main point of contact for service customers, providing clear updates, answering inquiries, and ensuring a seamless experience from call intake to resolution.
- Collaboration: Work closely with multiple office locations, field service teams, and internal support functions to meet critical performance demands.
- Shift Flexibility: Participate in alternating weekly schedules, including occasional weekend coverage, to meet department needs and maintain uninterrupted service.
- Continuous Improvement: Identify opportunities to streamline processes, reduce response times, and enhance overall service quality.
Basic Qualifications
- High school diploma or state‑recognized GED.
- 3+ years of experience in customer service call handling, dispatching, or service response within a technical environment (military experience is a plus).
- Proficiency with Microsoft Office suite and familiarity with enterprise resource planning software (arenaflex platform).
- Strong typing skills (minimum 50 wpm) and the ability to accurately capture detailed information under pressure.
- Demonstrated ability to thrive in high‑call‑volume environments and meet tight time constraints.
- Legal authorization to work in the United States on a permanent basis without sponsorship.
Preferred Qualifications
- Associate degree in a related field.
- Additional 3+ years of experience specifically in dispatching for HVAC controls, mechanical automation, or related smart‑building technologies.
- Knowledge of HVAC control concepts, including both mechanical and automation components.
- Bilingual proficiency in Spanish or French to support a diverse customer base.
