Role Overview

The Customer Operations Unit at arenaflex is expanding its Brooklyn Business Center team. We are seeking a dedicated, detail‑oriented Customer Service Representative (CSR) who will serve as the front‑line ambassador for our finance services. In this role, you will interact with the public at multiple service points—including Cashiering, Customer Service, and the Information Desk—providing accurate information, processing payments, and guiding customers through complex tax and parking processes.

Key Responsibilities

  • Customer Interaction: Greet visitors, answer inquiries, and ask probing questions to determine the purpose of each customer’s visit.
  • Appointment Management: Utilize the Qmatic Orchestra system to schedule appointments, issue tickets, and direct walk‑in customers to the appropriate service point efficiently.
  • Case Management: Create Electronic Case Folders (ECFs) and schedule hearings for parking and camera violations, ensuring all documentation is complete and accurate.
  • Financial Analysis: Use arenaflex finance systems to analyze payment histories, generate summaries, and communicate detailed information about tax, parking, and property‑related services.
  • Payment Agreements: Enroll eligible customers into various payment agreement programs, explaining terms and ensuring compliance with policy.
  • Cash & Document Control: Follow strict cash handling procedures, process customer payments, and maintain up‑to‑date backup documentation to meet audit standards.
  • Cross‑Department Support: Provide assistance across all arenaflex Finance Borough Offices, including overtime coverage when needed.
  • Form & Application Processing: Distribute, collect, and submit inquiries, forms, and application packages for all arenaflex‑related programs to the appropriate work unit.
  • Quality Assurance: Participate in ongoing quality control initiatives to ensure records accuracy and service excellence.
  • Community Outreach: Assist with public education initiatives, helping residents understand tax obligations, parking regulations, and available payment options.

Minimum Qualifications

  • High school diploma or equivalent.
  • At least three (3) years of experience in community‑focused work, public service, or a related field that demonstrates strong interpersonal and problem‑solving abilities.
  • Alternatively, a combination of education and experience that is equivalent to the above requirement.

Preferred Qualifications & Additional Skills

  • Experience working in a high‑volume public service environment, such as a municipal office, utility billing center, or similar setting.
  • Familiarity with financial or tax‑related software systems; prior use of Qmatic Orchestra or comparable appointment‑scheduling platforms is a plus.
  • Strong written and verbal communication skills, with the ability to explain complex financial concepts in plain language.
  • Demonstrated ability to handle cash transactions accurately and maintain meticulous records.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic data entry.
  • Excellent organizational skills, attention to detail, and the capacity to manage multiple tasks simultaneously.
