Key Responsibilities

Reporting to the Executive Operations Manager, you will be entrusted with a blend of administrative, communication, and data‑management duties. Your day‑to‑day activities will include, but are not limited to:

  • Appointment Coordination: Manage an extremely active calendar of appointments, schedule meetings across multiple time zones, and resolve conflicts to ensure optimal use of executive time.
  • Correspondence Management: Draft, edit, and prepare confidential letters, emails, and other communications with a high degree of professionalism and accuracy.
  • Event & Presentation Support: Arrange complex events, sales presentations, and strategic meetings; collect and assemble data for presentations; and assist in creating polished slide decks.
  • Project Tracking: Coordinate special projects, track milestones, and collaborate with cross‑functional staff to meet tight deadlines.
  • Data Entry & Quality Assurance: Input data into Google Spreadsheets, Excel, and proprietary arenaflex systems; verify accuracy, perform proofreading, and maintain organized records.
  • Client Interaction: Communicate professionally with diverse client populations, respond to inquiries, and provide exceptional service that reflects arenaflex’s brand values.
  • Administrative Support: Open, sort, and distribute incoming correspondence (email, fax, mail); attend meetings as required; and maintain up‑to‑date logs of schedules, speaking opportunities, and staff issues.
  • Personal Errands & Logistics: Perform occasional personal errands and logistical tasks that support senior leadership’s productivity.
  • Confidentiality & Compliance: Handle sensitive information with discretion, adhering to corporate, legal, and regulatory guidelines at all times.
