If you are passionate about helping others navigate the complexities of insurance claims, especially total loss situations, you have found the right place.

About the Role – Customer Service Representative (Claims – Total Loss)

Located in our modern Dallas Regional Office in Frisco, TX, the Customer Service Representative (CSR) for Total Loss Claims is the first line of support for policyholders who have experienced a total loss event. You will guide customers through the claims process, answer their questions, and ensure timely, accurate payments to insureds, claimants, and vendors. After a comprehensive training period, you will have the flexibility to work from home up to two days per week, allowing you to balance professional responsibilities with personal priorities.

Key Responsibilities

  • Deliver Outstanding Service: Provide courteous, empathetic, and solution‑focused assistance to customers via telephone, email, and written correspondence.
  • Claims Intake & Management: Accurately capture claim details, verify coverage, and open new total loss files while maintaining strict adherence to regulatory and internal standards.
  • Communication & Documentation: Draft and send letters, emails, and notices to all parties involved in the claims process, ensuring clarity and professionalism.
  • Payment Processing: Issue and track payments to insureds, claimants, and vendors, confirming that all disbursements align with policy terms and loss adjustments.
  • Loss Adjustment Support: Assist senior adjusters in evaluating total loss values for a variety of property claims, excluding bodily injury, and prepare supporting documentation.
  • Collaboration: Work closely with underwriting, legal, and vendor teams to resolve complex claim issues and expedite resolutions.
  • Continuous Learning: Participate in ongoing training, obtain the required state insurance license, and meet continuing education requirements to stay current with industry best practices.
  • Data Integrity: Maintain accurate claim records in our policy administration system, ensuring data quality for reporting and audit purposes.

Essential Qualifications

  • High school diploma or equivalent; additional education in business, finance, or related fields is a plus.
  • Demonstrated experience in a customer‑service environment, preferably in a call‑center or insurance setting.
  • Exceptional interpersonal and communication skills, with the ability to convey complex information in a clear, compassionate manner.
  • Strong organizational abilities and attention to detail, essential for processing payments and maintaining accurate claim files.
  • Basic computer proficiency; familiarity with Microsoft Office Suite and ability to quickly learn proprietary claims management software.
  • Willingness to obtain a state insurance license after hire and to fulfill ongoing continuing education requirements (comprehensive training will be provided).

Preferred Qualifications & Experience

  • Prior experience in property and casualty insurance, especially handling total loss or auto claims.
  • Knowledge of insurance regulations, policy language, and claims settlement procedures.
  • Experience with payment processing platforms or financial reconciliation.
  • Ability to work independently while maintaining high productivity and quality standards.
  • Demonstrated problem‑solving skills and a proactive approach to resolving customer concerns.

Core Skills & Competencies

  • Empathy & Active Listening: Ability to understand the emotional state of customers who have suffered a loss and respond with genuine care.
  • Analytical Thinking: Assess claim details, identify gaps, and recommend next steps efficiently.
  • Time Management: Prioritize multiple claims simultaneously while meeting service level agreements.
  • Team Collaboration: Communicate effectively with internal partners to achieve swift claim resolutions.
  • Adaptability: Thrive in a dynamic environment where policies, regulations, and technology evolve.

Training, Development & Career Growth

At arenaflex, we invest heavily in the professional development of our employees. New hires will undergo a structured onboarding program that includes:

  • Comprehensive insurance fundamentals training covering policy structures, claim lifecycle, and regulatory compliance.
  • Hands‑on instruction on our claims management system, payment processing tools, and communication platforms.
  • Support to obtain the required state insurance license, including study materials, exam fees, and mentorship from seasoned adjusters.
  • Ongoing webinars, workshops, and e‑learning modules focused on advanced claims handling, customer experience excellence, and leadership development.

Career pathways are clearly defined. High‑performing CSRs can advance to roles such as Claims Adjuster, Senior Adjuster, Claims Supervisor, or even Branch Manager. We also encourage lateral moves into underwriting, risk analysis, or product development for those who wish to broaden their expertise.
