Position Overview

As a Customer Service Representative at arenaflex, you will serve as the primary point of contact for our retail partners and business clients. Your mission will be to deliver a seamless, professional, and friendly experience on every interaction, helping buyers place orders, resolve issues, and navigate our comprehensive product offerings. This full-time position offers a consistent Monday-through-Friday schedule from 9:00 a.m. to 5:30 p.m., giving you your evenings and weekends free to enjoy life outside of work. Key Responsibilities

  • Order Processing: Accurately input purchase orders into our system while speaking with customers over the phone, ensuring all product details, quantities, shipping information, and pricing are captured correctly.
  • Product Knowledge Support: Answer basic questions regarding our extensive catalog of clothing and accessories, providing clients with the information they need to make informed purchasing decisions.
  • Website Navigation Assistance: Guide buyers through our company website, helping them locate products, access account information, check inventory, and utilize online tools effectively.
  • Payment Processing: Accept payments over the phone securely and in compliance with company protocols, maintaining the highest standards of accuracy and confidentiality.
  • Refund and Exchange Handling: Submit requests for refunds, exchanges, and returns on behalf of customers, following established procedures and ensuring timely resolution.
  • Shipment Tracking and Logistics Support: Assist clients with questions about tracking shipments, investigating order delays, and providing updates on delivery timelines.
  • Issue Resolution: Address concerns regarding incorrect, damaged, or missing merchandise, working collaboratively with warehouse and shipping teams to resolve problems swiftly and satisfactorily.
  • Data Entry Excellence: Perform accurate and efficient data entry while actively engaged in customer conversations, demonstrating strong multitasking abilities.
  • Documentation: Maintain detailed records of customer interactions, transactions, and resolutions in our CRM system to ensure continuity of service and effective follow-up.

Essential Qualifications and Experience

To excel in this role, candidates should possess the following foundational qualifications and experience:

  • Prior Customer Service Experience: A minimum of one to two years of experience working as a call center customer service agent, receptionist, or client intake coordinator is highly preferred. Experience in B2B environments, particularly speaking with business clients over the phone, is a strong plus.
  • Communication Skills: Exceptional verbal communication skills with a friendly, outgoing, and professional telephone presence. The ability to articulate information clearly, listen actively, and convey empathy is essential.
  • Data Entry Proficiency: Demonstrated ability to perform accurate data entry while simultaneously engaging in phone conversations, with strong attention to detail and a commitment to error-free work.
  • Computer Literacy: Comfort and proficiency with computers, including experience using CRM software, order entry systems, email platforms, and web-based applications. Typing speed of at least 40 WPM is preferred.
