We are seeking a dedicated and detail-oriented Remote Trip Assignment Specialist to join our evening operations team. This is not your typical customer service role. This is a position at the intersection of logistics coordination, healthcare support, and member advocacy. This position operates during overnight hours, Monday night through Friday night, from 11:30 PM to 8:00 AM Pacific Time, and is fully remote. You'll be working from the comfort of your home while playing a critical role in keeping our nation's healthcare transportation network running smoothly during the late-night hours.

What You Will Do: Core Responsibilities

As a Trip Assignment Specialist at arenaflex, you will be the operational heartbeat of our evening transportation services. Your primary mission is to ensure that every scheduled trip is assigned to the right resource at the right time, creating seamless experiences for our members while optimizing the efficiency of our dispatchers and Care Partners.

Daily Trip Assignment and Scheduling

  • Assign approximately 700-900 trips per night to dispatchers within our proprietary Health-E Rides system, ensuring optimal distribution based on geography, capacity, and urgency.
  • Build comprehensive daily schedules for dispatchers, strategically incorporating break times and lunch periods to maintain operational continuity while supporting team wellbeing.
  • Stack and assign trips to contracted Care Partners (our network of professional drivers), matching trip requirements with partner capabilities and availability.
  • Monitor real-time trip flow and make dynamic adjustments as conditions change throughout your shift.
  • Balance workload distribution to prevent dispatcher burnout while maintaining service level agreements.

Member Communication and Trip Coordination

  • Serve as the first point of contact for inbound calls from members during evening hours, providing professional, empathetic, and solution-oriented support.
  • Coordinate evening trips as they come in, capturing essential details and ensuring timely assignment.
  • Handle time-sensitive transportation requests with calm efficiency, understanding that behind every call is a person with a medical need.
  • Document all member interactions accurately and thoroughly in our systems.
  • Escalate complex issues appropriately while maintaining ownership until resolution.

Administrative Support Functions

  • Assist with Care Partner related administrative tasks, including payment processing and documentation management.
  • Handle Level 1 administrative tickets in Zendesk, our customer support platform, resolving routine inquiries and routing complex issues to appropriate teams.
  • Maintain accurate records of all assignments, adjustments, and communications.
  • Contribute to process improvement initiatives by identifying patterns and suggesting efficiencies.
  • Support quality assurance efforts by ensuring data integrity across all systems.

Essential Requirements

  • Previous experience in dispatching and coordinating transportation is required. We need professionals who understand the complexities of moving people and resources efficiently.
  • Demonstrated ability to work independently during overnight hours with minimal supervision.

  • Comfort with technology and ability to learn proprietary systems quickly.

Preferred Qualifications

  • Healthcare experience is highly preferred, particularly familiarity with medical transportation, patient logistics, or healthcare operations.
  • Experience working remotely with distributed teams.
  • Familiarity with CRM platforms, dispatch software, or healthcare management systems.
  • Previous experience with Zendesk or similar ticketing systems.
  • Understanding of HIPAA regulations and patient privacy standards.
  • Bilingual capabilities (Spanish/English preferred but not required).
  • Geographic knowledge of major metropolitan areas and routing principles.
