[Remote] Professional Services Operations Coordinator

They are seeking a highly organized and detail-oriented Professional Services Operations Coordinator to support Training, Resource Management, Project Administration, and Professional Services Operations activities across international teams.
Responsibilities
- Coordinate training schedules with trainers, customers, and partners based on training requests and public training plans
- Process online training requests, create orders, complete related documentation, and manage associated administrative tasks
- Collaborate with responsible teams to publish training calendars on websites and partner portals
- Provision and maintain training environments using Skytap and coordinate issue resolution with relevant teams
- Administer Litmos, including updating partner records, maintaining training calendars, and generating training certificates
- Support partner and implementation professional certification processes
- Manage administrative tasks related to training delivery, including work authorization processing, assignments, parent project setup, planning, and vendor and customer invoicing
- Support resource scheduling and assignment creation
- Create work authorizations and budgets for subcontractor resources and ensure projects are properly shared with assigned personnel
- Assist subcontractors with timesheet submission, expense reporting, invoicing, and general administrative inquiries
- Coordinate subcontractor onboarding and offboarding activities, including contract requests and account creation
- Coordinate special billing projects and request manual invoices from Project Accounting when required
- Review and approve vendor invoices while coordinating with Accounts Payable to ensure timely processing and issue resolution
- Support customers and internal finance teams with invoice-related questions, including timesheets, budget utilization, and remaining project balances
- Participate in regular project reviews and collaborate with Project Managers on expired projects, order amendments, project corrections, conversions, and administrative updates
- Review customer orders and submit them for processing
- Create opportunities and quotations in Salesforce upon request from Services Leaders and Project Managers
- Support the creation of Statements of Work and related project documentation
- Coordinate approval workflows and legal requests
- Provide operational and administrative support for Professional Services projects and training engagements
Skills
- Previous experience in project coordination, operations, professional services administration, training operations, or resource management
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and coordinate activities across international teams
- Experience working with customer-facing and cross-functional processes
- Excellent communication and stakeholder management skills
- Comfortable working with administrative systems and business applications
- Proficiency in English, both written and spoken
- Experience with Salesforce, Litmos, or Skytap is considered an advantage
