Client Onboarding Specialist

Viremix is seeking a Client Onboarding Specialist to help new clients move smoothly from payment into the setup phase. Viremix helps real estate professionals generate qualified appointments through paid advertising, automated follow-up systems, and appointment-setting infrastructure. This role is focused on organization, communication, and making sure each new client provides the information, assets, and access required for the team to begin fulfillment. Responsibilities:

  • Welcome new clients after they have signed or started service
  • Schedule and coordinate onboarding calls when needed
  • Collect required client information, assets, and account access
  • Follow onboarding checklists to ensure nothing is missed
  • Update client records, notes, and onboarding statuses
  • Identify missing items and follow up professionally
  • Prepare clean handoff notes for the campaign and automation team
  • Communicate onboarding progress internally

Requirements:

  • Experience in onboarding, administration, operations, customer support, or client coordination
  • Strong attention to detail
  • Clear written and verbal communication
  • Ability to follow checklists and internal processes
  • Comfortable using CRM and task management systems
  • Organized, reliable, and professional with clients
