Position Overview – Remote Benefits Customer Service Representative

This role is designed for a motivated, detail‑oriented individual who can seamlessly transition from an on‑site orientation in San Diego to a fully remote work setting. You will serve as the primary point of contact for members seeking assistance with health, welfare, and pension plans, handling inquiries via phone, email, and instant messaging. Your ability to translate technical plan language into plain English (or Spanish/French) will directly impact member satisfaction and compliance adherence.

Key Responsibilities

  • Member Interaction: Build rapport quickly, respond with compassion, and exceed expectations by delivering accurate, timely information across multiple communication channels.
  • Personalized Service: Adapt your communication style to match each member’s personality and preferred method of contact while maintaining professionalism, especially during challenging calls.
  • Confidentiality & Compliance: Safeguard sensitive member data in strict accordance with HIPAA, data privacy regulations, and arenaflex’s internal security protocols.
  • Plan Translation: Break down complex health, welfare, and pension terminology into clear, actionable explanations that members can easily understand.
  • Document Review: Navigate client plan documents and arenaflex’s knowledge‑base tools to gather relevant details, resolve immediate inquiries, and anticipate future member needs.
  • Collaboration & Meetings: Attend on‑site meetings and major project sessions in San Diego as required, and participate in virtual team huddles to share insights and best practices.
  • Continuous Improvement: Provide feedback on process enhancements, contribute to knowledge‑base updates, and support the development of training materials for new hires.

Essential Qualifications

  • High School Diploma or GED (or equivalent).
  • Demonstrated experience in customer service, call‑center environments, or related fields; experience with benefits administration is a plus.
  • Excellent verbal and written communication skills in English; bilingual fluency in Spanish or French is highly valued and compensated with an additional $0.75 per hour.
  • Strong interpersonal skills with the ability to remain calm, empathetic, and solution‑focused during high‑pressure interactions.
  • Proficiency with standard office software (Microsoft Office, Google Workspace) and familiarity with CRM or ticketing systems.
  • Reliable high‑speed internet connection and a quiet, professional home workspace for remote work.
  • Willingness to reside within a two‑hour radius of San Diego, CA 92108 for the initial on‑site orientation and occasional in‑person meetings.

Preferred Qualifications & Additional Skills

  • Prior exposure to HIPAA regulations, data privacy standards, or other compliance frameworks.
  • Experience translating technical or legal documents into layperson language.
  • Ability to manage a flexible schedule, including early mornings (as early as 5:30 a.m.) and evenings (up to 8:00 p.m.), with a weekly commitment of 32–40 hours and potential overtime.
  • Strong problem‑solving aptitude, with a track record of identifying root causes and delivering proactive solutions.
  • Team‑oriented mindset, eager to share knowledge and mentor newer colleagues.

Core Competencies for Success

  • Empathy & Active Listening: Truly understand member concerns and respond with genuine care.
  • Attention to Detail: Accurately capture information, follow compliance guidelines, and avoid errors in documentation.
  • Time Management: Prioritize tasks effectively, meet response‑time SLAs, and balance multiple inquiries without sacrificing quality.
  • Technical Agility: Quickly learn arenaflex’s proprietary platforms, knowledge‑base tools, and any integrated benefits portals.
  • Adaptability: Thrive in a hybrid environment that blends on‑site collaboration with remote independence.
