Position Overview

arenaflex is seeking a highly meticulous, organized, and customer-focused Remote Customer Service Representative & Data Entry Specialist to join our expanding Travel Department. This dual-role position is ideal for a detail-oriented professional who excels at both administrative precision and client-facing communication. In this role, you will be responsible for accurately entering, maintaining, and managing client information, travel bookings, expense reports, vendor contracts, and other essential data that power our award-winning travel services.

As a critical member of our remote team, you will serve as the backbone of our database integrity, ensuring that every piece of information is accurate, up-to-date, and easily accessible to our travel advisors and administrative staff. Beyond data management, you will also engage directly with clients and internal stakeholders to provide exceptional service, answer inquiries, resolve discrepancies, and ensure a smooth end-to-end experience. Key Responsibilities

Data Management & Entry

  • Accurately enter, update, and maintain client information, travel bookings, reservations, expenses, and all other relevant data into internal databases, CRM systems, and spreadsheets.
  • Maintain comprehensive, organized, and up-to-date records of client interactions, travel itineraries, vendor contracts, supplier agreements, and other pertinent documentation.
  • Prepare, format, and organize documents, reports, spreadsheets, and presentation materials as required, ensuring clarity, consistency, and easy accessibility for team members.

Quality Assurance & Accuracy

  • Review all entered data for errors, inconsistencies, omissions, and discrepancies, taking prompt corrective action to ensure complete accuracy and data integrity.
  • Conduct routine audits of database records to identify and resolve issues before they impact client service or operational workflows.
  • Implement best practices for data validation, ensuring that all information complies with internal standards and external regulatory requirements.

Customer Service & Client Support

  • Serve as a primary point of contact for clients via phone, email, and chat, addressing inquiries related to bookings, itineraries, account details, and general travel questions.
  • Provide timely, professional, and courteous responses to client requests, ensuring each interaction reflects the high standards of arenaflex.
  • Collaborate closely with travel advisors to relay client preferences, special requests, and feedback, contributing to personalized service delivery.

Timeliness & Performance

  • Ensure the timely processing of all data entry tasks, consistently meeting established deadlines, productivity targets, and performance metrics.
  • Manage multiple priorities effectively in a fast-paced remote environment, balancing data entry responsibilities with customer service demands.
  • Monitor personal workflow and communicate proactively with supervisors about workload, bottlenecks, or potential delays.

Collaboration & Communication

  • Work closely with travel advisors, administrative staff, vendors, and other team members to ensure accurate, efficient, and seamless data entry and service processes.
  • Participate actively in team meetings, training sessions, and brainstorming discussions, contributing ideas and feedback to improve operations.
  • Maintain open, transparent, and professional communication channels with all internal and external stakeholders.

Compliance & Confidentiality

  • Follow established procedures, guidelines, and protocols for data entry, document handling, confidentiality, and information security.
  • Maintain strict compliance with company policies, industry regulations, and data protection standards, including GDPR and other applicable frameworks.
  • Safeguard sensitive client and company information at all times, demonstrating the highest level of discretion and professionalism.

Continuous Improvement & Problem-Solving

  • Identify opportunities for process improvement, automation, and efficiency gains in data entry workflows and customer service operations.
  • Contribute innovative ideas for enhancing data management practices, CRM utilization, and overall operational excellence.
  • Proactively identify and resolve data entry issues, discrepancies, and operational challenges in a timely and resourceful manner.

Essential Qualifications

  • Proven previous experience in a data entry, administrative support, or customer service role, preferably within the travel, hospitality, or related industries.
  • Exceptional attention to detail and accuracy, with strong organizational, time management, and multitasking abilities.
  • Proficiency in data entry software, CRM platforms, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace, and other relevant digital tools.
