Position Overview – Hybrid Operations Intake Coordinator I (Data Entry)

This role is the backbone of our document flow, ensuring that every piece of correspondence—whether incoming or outgoing—is handled with speed, accuracy, and confidentiality. As an Operations Intake Coordinator I, you will be the first line of defense against bottlenecks, guaranteeing that critical health‑care documents reach the right hands at the right time. The position is hybrid, with a primary office located at 1350 Air Park Drive, Farmington, MO, and the flexibility to work remotely when business needs dictate.

Key Responsibilities

  • Receive, log, and distribute all incoming documents—including paper, electronic, and faxed materials—within established service level agreements.
  • Enter data from source documents into internal systems with a focus on accuracy, adhering to privacy and compliance standards (HIPAA, GDPR, etc.).
  • Photocopy, scan, and route inter‑office correspondence, ensuring that each file is correctly labeled and stored.
  • Maintain a systematic filing system (both physical and digital) that enables rapid retrieval for audits, inquiries, and reporting.
  • Collaborate with cross‑functional teams—such as Claims, Member Services, and IT—to resolve document‑related issues promptly.
  • Monitor and report on document processing metrics, identifying trends and recommending process improvements.
  • Perform routine quality checks to verify that all documents meet regulatory and internal standards before distribution.
  • Assist in training new hires on document handling procedures, software tools, and confidentiality protocols.
  • Provide backup support for other intake and data‑entry functions during peak periods, holidays, or overtime shifts.
  • Uphold a high level of confidentiality, handling sensitive member information with discretion and professionalism.

Essential Qualifications

  • High school diploma or equivalent; additional coursework in office administration, health‑care administration, or related fields is a plus.
  • Demonstrated experience in high‑volume production or data‑entry environments, preferably within a health‑care or insurance setting.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with document‑management software.
  • Strong attention to detail and the ability to maintain accuracy while processing large volumes of information.
  • Excellent organizational skills with the capacity to prioritize multiple tasks in a fast‑paced environment.
