Why This Role Matters

As a Customer Service Representative at arenaflex, you will be the frontline ambassador for our licensing program. You will help businesses stay compliant with their licensing agreements, resolve billing and account inquiries, and educate customers on the value of the arenaflex blanket license. Your dedication to one‑call resolution and timely follow‑up will directly impact the financial health of our members and the satisfaction of our licensees.

Key Responsibilities

  • Maintain deep knowledge of the top five fixed‑rate license classes (e.g., BGT, Adult Entertainment, Fitness, Convention, Dance School) and the report‑and‑pay classes (e.g., Hotels, Concert Venues, Shopping Centers).
  • Participate in ongoing training with the Customer Service Manager to expand expertise to 20‑25+ license categories within the first 1‑3 years.
  • Handle an average of 35‑40 inbound calls per day during peak periods and 20‑25 calls during off‑peak times, delivering courteous and accurate information.
  • Resolve disputes by listening actively, diagnosing root causes, proposing clear solutions, and following through until the issue is fully resolved.
  • Explain payment due dates and collection processes, ensuring customers understand their financial obligations under their license agreements.
  • Communicate the fundamentals of copyright law as it applies to public performance of music, translating complex legal concepts into plain language.
  • Respond to inquiries via phone, email, live chat, and social media platforms, maintaining a consistent tone of professionalism.
  • Process policy changes, adjustments, and report submissions, keeping licensee accounts up‑to‑date in arenaflex’s CRM system.
  • Advise licensees on the terms of 20+ agreements, re‑educating them on the necessity of proper licensing and the benefits it provides.
  • Execute payment transactions in strict accordance with PCI‑DSS compliance standards.
  • Protect members’ rights by reviewing requests to discontinue music usage and processing cancellations per established procedures.
  • Log all call activity in the CRM, set appropriate follow‑up tasks, and create case records for complex issues.
  • Escalate high‑impact or sensitive matters to the Customer Service Manager when judgment calls are required.
  • Contribute to team initiatives, share best practices, and assist with related tasks to support overall department goals.

Essential Qualifications

  • Demonstrated ability to communicate professionally and courteously via telephone, email, and instant messaging.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Slides).
  • Familiarity with web‑based applications, preferably Salesforce or similar CRM platforms.
  • Exceptional written and verbal communication skills, with a focus on clarity and empathy.
  • Strong independent problem‑solving capabilities and the capacity to juggle multiple tasks simultaneously.
  • Prior experience in a call‑center environment or sales role is preferred.
  • Bilingual ability in Spanish is a plus, enhancing service to a broader customer base.
  • Proven track record as a collaborative team player with solid interpersonal skills.
