Position Overview – Your Role in the Pole Inventory Process

We are seeking a detail‑oriented, self‑motivated Remote Data Entry Specialist to join our dynamic team on a contract/temporary basis. This entry‑level role is pivotal to the accurate management of pole inventory data that connects telecommunications carriers, third‑party attachers, and power utilities. You will serve as the primary conduit for data flow, ensuring that information is captured, validated, and communicated efficiently across all stakeholders.

While the position is remote, you will collaborate closely with engineers, project managers, and client representatives to resolve discrepancies, maintain data integrity, and support the broader pole inventory management workflow. This is an excellent opportunity for individuals who thrive in structured environments, possess strong organizational skills, and are eager to develop expertise in the telecom sector.

Key Responsibilities

  • Enter, update, and maintain pole inventory records in designated databases with a focus on accuracy and speed.
  • Perform routine data validation checks to identify and flag inconsistencies, missing fields, or duplicate entries.
  • Coordinate with telecommunications engineers, third‑party attachers, and power company contacts to resolve data discrepancies and obtain missing information.
  • Generate and distribute regular status reports that summarize inventory changes, pending issues, and resolution timelines.
  • Assist team leadership by tracking key performance indicators (KPIs) related to data quality, turnaround time, and issue resolution rates.
  • Utilize Microsoft Windows XP, Excel, Word, and Outlook to manage spreadsheets, draft communications, and organize project documentation.
  • Support the creation and maintenance of standard operating procedures (SOPs) for data entry and inventory management processes.
  • Participate in virtual team meetings, providing updates on data entry progress and highlighting any emerging challenges.
  • Maintain confidentiality of proprietary client data and adhere to arenaflex’s data security policies.
  • Continuously seek opportunities to improve workflow efficiency through automation, template development, or process refinement.

Essential Qualifications

  • Proficient computer skills, including experience with Microsoft Windows XP, Excel (including formulas and pivot tables), Word, and Outlook.
  • Demonstrated ability to input data quickly and accurately, with a keen eye for detail.
  • Strong written and verbal communication skills, enabling clear interaction with internal teams and external partners.
  • Effective time‑management and organizational abilities, capable of handling multiple tasks and meeting deadlines.
  • Experience navigating and extracting information from relational databases or similar data repositories.
  • High school diploma or equivalent; associate degree or higher in business administration, information technology, or a related field is a plus.

Preferred Qualifications & Additional Experience

  • Familiarity with industry‑specific software such as NJUNS, ALDEN ONE, or SPANS.
  • Previous exposure to telecommunications or utility pole inventory projects.
  • Experience working in a remote or virtual team environment.
  • Basic understanding of right‑of‑way regulations, permitting processes, or utility infrastructure.
  • Demonstrated problem‑solving skills, particularly in identifying root causes of data discrepancies.

Core Skills & Competencies for Success

  • Analytical Acumen: Ability to interpret data trends, spot anomalies, and recommend corrective actions.
  • Attention to Detail: Commitment to maintaining high data quality standards.
  • Collaboration: Comfortable working with cross‑functional teams, both virtually and across organizational boundaries.
  • Adaptability: Flexibility to adjust to evolving project requirements and shifting priorities.
  • Technical Literacy: Quick learner of new software tools and platforms.
  • Professional Integrity: Respect for confidentiality and adherence to ethical data handling practices.
