We are currently hiring a Remote Client Experience & Medicare Support Specialist to serve as the friendly, confident, and capable first point of contact for new and existing clients. This role is the heartbeat of our operation. What You Will Do as a Remote Client Experience & Medicare Support Specialist

As the creator of first impressions at arenaflex, you will play a critical role in shaping how new clients experience our agency. The majority of your day will be spent on the phones, providing outstanding customer service to Medicare-eligible individuals and their families, as well as supporting our internal team with accurate and timely data entry across multiple online platforms.

Core Day-to-Day Responsibilities

  • Answer Inbound Calls with Confidence and Warmth: Serve as the first voice clients hear when they contact arenaflex. Greet every caller with a friendly, professional, and reassuring tone, and make each interaction a positive experience that reflects our company values.
  • Provide Patient, Clear Communication: Many of our clients are 65 or older and may be navigating complex Medicare questions for the first time. You will explain information in simple, accessible language and demonstrate patience and empathy with every conversation.
  • Multi-Task Across Phone Systems and Online Platforms: Simultaneously manage live phone conversations while accurately entering client data into multiple online systems. This is a fast-paced role that requires comfort toggling between screens and systems without losing focus or accuracy.
  • Support Existing Clients with Service Questions: Field questions from current clients regarding their policies, coverage details, account updates, and general inquiries. Route more complex issues to the appropriate team member when needed, always ensuring the client feels heard and supported.
  • Maintain Detailed and Accurate Records: Document every client interaction thoroughly in our CRM and other internal platforms, ensuring data integrity and continuity of service across the team.
  • Collaborate with the Team via Video Chat: Arenaflex operates inside a video chat environment throughout the workday. You will be visible and engaged with your teammates, providing a sense of belonging, accountability, and quick communication as you work through daily tasks together.
  • Uphold Company Standards and Compliance: Follow all internal procedures, compliance guidelines, and best practices to ensure every client interaction meets the high standards arenaflex is known for.
  • No Cold Calling, No Selling: This is a true customer service and support role. You will not be asked to make outbound sales calls, meet quotas, or pressure clients. Your focus is purely on helping, informing, and supporting.
  • Grow Into Expanded Responsibilities: For high performers who demonstrate reliability, skill, and initiative, opportunities to take on additional responsibilities within the agency will open up over time.

Non-Negotiable Requirements for This Role

arenaflex is committed to hiring only candidates who meet our strict baseline requirements. Please do not apply unless you satisfy both of the following criteria:

  • Minimum of 5 years of fast-paced office experience. You must have a proven track record of thriving in a busy, multi-tasking professional environment.
  • Minimum of 5 years at one company in your work history. We value loyalty, reliability, and long-term commitment. We are looking for team members who have demonstrated the ability to invest in an organization over the long haul.

  • Positive Attitude: You bring optimism and solution-oriented thinking to every situation, even when faced with challenging calls or difficult questions.
  • Confidence: You are comfortable being the first point of contact and owning each conversation from start to finish.
  • Solid Technical Skills: You are comfortable navigating a PC or Mac, switching between multiple browser tabs and online systems, and learning new software platforms quickly.
  • Patience: You will be working with the 65+ age demographic. Many clients will need extra time, repetition, and reassurance. Patience is not optional; it is foundational to the role.
  • Organizational Excellence: You can stay organized, prioritize effectively, and maintain accuracy even when handling a high volume of calls and data entry tasks simultaneously.
  • Thrives Under Pressure: You genuinely enjoy a fast-paced environment and perform your best when things are moving quickly.

Preferred (But Not Required) Experience

The following backgrounds are a strong plus and will make you an especially attractive candidate:

  • Prior experience in a fast-paced doctor’s office or medical practice.
  • Prior experience in a fast-paced small insurance company environment.
  • Familiarity with Medicare, health insurance, or benefits administration (training will be provided for the right candidate).
  • Experience with CRM systems, call center platforms, or multi-line phone systems.

Home Office Setup: What We Require

arenaflex takes the remote work model seriously. We are not looking for someone who wants to work in their pajamas while supervising small children or running personal errands. This is a professional, structured, full-time role performed from a dedicated home office. The following are required:

  • A Quiet, Distraction-Free Home Office: You must have a dedicated workspace that is free from background noise, interruptions, and household distractions during your scheduled work hours.
  • A Reliable PC or Mac: You must have your own computer capable of running the necessary software and browser-based tools.
  • High-Speed Internet Connection: A stable, high-speed internet connection is essential for video chat, phone systems, and online data entry.
  • Video Chat Presence All Day: Our team works inside a video chat environment throughout the entire workday. This creates accountability, fosters team connection, and enables quick communication. You must be comfortable being on camera with your team for the full duration of your shift.

Please Note: This remote position should be thought of as the exact same experience as working in a traditional office, simply without the commute. The structure, accountability, and professionalism are identical.

Compensation, Schedule, and Employment Details

  • Pay: $40,000 per year.
  • Employment Type: Full-time, W-2 employee. This is not a 1099 contract position. Taxes will be withheld from your paycheck, and you will receive a regular W-2 at year end.
  • Schedule: 8:30 AM to 5:00 PM Eastern Time, Monday through Friday (40 hours per week). Candidates in other time zones are welcome to apply; you will simply need to convert our Eastern Time hours to your local time zone.
  • Shift: 8-hour day shift, Monday to Friday.
  • Training: All training is provided on the job and is paid.
  • Start Date: There is no fixed start date. Our goal is to find the best fit for the arenaflex team, and we will onboard the right candidate as soon as the match is made.
