Role Overview
arenaflex is seeking a detail‑oriented, customer‑centric Billing Customer Support Associate to join our Accounting team. In this hybrid role you will act as the primary liaison between our members and internal finance operations, ensuring that every invoice, payment, and billing inquiry is handled with precision, empathy, and speed. You will help shape the end‑to‑end billing experience—from invoice generation to payment reconciliation—while supporting revenue growth and reinforcing trust with our members.
This position is ideal for a proactive problem‑solver who thrives in a fast‑paced environment, values operational excellence, and enjoys building lasting relationships with customers. The role can be performed from any arenaflex hub market within the Eastern or Central time zones, including but not limited to New York City, Atlanta, Chicago, Boston, Miami, and Austin.
Key Responsibilities
Member‑Facing Billing Support
- Serve as the primary point of contact for client billing and accounts‑receivable inquiries, delivering clear, empathetic, and professional communication.
- Investigate and resolve billing discrepancies, payment failures, and credit‑memo requests with a member‑first mindset.
- Maintain confidentiality and discretion when handling sensitive financial information.
- Provide timely updates to members on the status of their invoices, refunds, and credit balances.
Operational Excellence & Process Improvement
- Implement and monitor quality‑assurance controls for all billing‑related processes to ensure data integrity.
- Utilize accounting platforms such as Salesforce, Stripe, and Zendesk to manage customer accounts, track payment cycles, and generate accurate statements.
- Identify recurring billing trends, root‑cause issues, and recommend process enhancements that reduce manual effort and improve collection rates.
- Collaborate with cross‑functional teams—including Accounting, Operations, and Sales—to resolve complex billing errors and streamline workflows.
Special Projects & Cross‑Team Collaboration
- Support the Special Projects team by providing billing expertise that aligns with project timelines and deliverables.
- Review monthly invoices for clarity and accuracy before they are posted to the member billing portal.
- Assist location managers with AR or billing inquiries and execute transactions within Salesforce as needed.
- Compile detailed statements of account—including invoice breakdowns, payment allocations, credit memos, and refunds—upon member request.
- Coordinate effectively across time zones, especially between East Coast and West Coast operations, to ensure seamless service delivery.
Qualifications
Required
- Demonstrated ability to communicate clearly and empathetically with customers, both verbally and in writing.
- Strong problem‑solving skills with a focus on delivering solutions that prioritize member satisfaction.
- Familiarity with accounting systems and AR platforms (e.g., Salesforce, Stripe, Zendesk, or similar).
- Ability to handle sensitive billing issues with professionalism, discretion, and a member‑first mindset.
- Comfort managing multiple tasks and deadlines while maintaining meticulous attention to detail in a fast‑paced environment.
- Experience collaborating cross‑functionally with Accounting, Operations, and Sales teams.
- Analytical mindset with the capacity to work both independently and as part of a team.
- Located on the East Coast (or willing to work some West Coast hours) to support cross‑time‑zone collaboration.
- Bachelor’s degree or equivalent work experience.
- Minimum of 1 + year experience in a customer‑service or client‑facing support role, preferably within a billing or accounting context.
Preferred
- Direct experience in Billing or Accounts Receivable functions.
- Proven track record of improving collection rates or reducing billing errors.
- Advanced proficiency with Excel or Google Sheets for data analysis and reporting.
