Key Responsibilities

Core Data Management Duties

  • Enter project‑related data—including bids, contracts, change orders, and invoices—into arenaflex’s central database with a focus on speed and precision.
  • Verify the completeness and correctness of incoming information by cross‑checking source documents, spreadsheets, and electronic forms.
  • Perform routine data audits to identify and correct inconsistencies, duplicate entries, or missing fields.
  • Maintain and update master records for clients, vendors, subcontractors, and employees, ensuring that contact details, licensing information, and insurance certificates are current.
  • Implement standardized naming conventions and coding structures to facilitate easy retrieval and reporting.

Administrative Support Functions

  • Assist the office team with filing, scanning, and copying of critical documents, adhering to arenaflex’s document‑control policies.
  • Prepare and distribute internal reports, status updates, and data extracts for project managers, accountants, and senior leadership.
  • Support the onboarding process for new hires by entering employee information into HR systems and ensuring confidentiality of personal data.
  • Collaborate with IT and system administrators to troubleshoot data‑entry software issues and suggest workflow enhancements.
  • Participate in periodic data‑cleanup projects, helping to archive obsolete records and migrate legacy data to new platforms.

Data Security and Confidentiality

  • Apply arenaflex’s data‑protection protocols to safeguard sensitive information, including financial records, client contracts, and employee personal data.
  • Follow industry best practices for password management, access controls, and secure file handling.
  • Report any suspected data breaches or security incidents immediately to the compliance officer.

Essential Qualifications

  • High school diploma or equivalent; additional coursework in business administration, information systems, or a related field is a plus.
  • Minimum of 2 years proven experience as a data entry operator, administrative assistant, or in a comparable role within a construction, contracting, or similar industry.
  • Demonstrated proficiency with Microsoft Office Suite—especially Excel (including formulas, pivot tables, and data validation) and Word.
  • Experience using database management tools or ERP systems (e.g., SAP, Oracle, or industry‑specific platforms) is highly desirable.
  • Exceptional attention to detail, with a track record of delivering error‑free work under tight deadlines.
  • Strong organizational skills and the ability to prioritize multiple tasks without sacrificing quality.
