As part of arenaflex, you will join a collaborative network of professionals who are passionate about delivering high‑quality data, supporting research initiatives, and ensuring every participant’s experience is seamless and respectful.

Why This Role Matters – The Impact of a Data Entry Assistant

In today’s data‑centric world, the accuracy and reliability of information collected for research studies can influence policy decisions, healthcare outcomes, and business strategies. As a Data Entry Assistant at arenaflex, you will be the guardian of that data integrity. Your meticulous work will directly support the successful execution of large‑scale surveys, help‑desk operations, and mailing campaigns that reach thousands of respondents across the country. By ensuring that every questionnaire is correctly processed, every address is verified, and every call is documented, you will play a pivotal role in turning raw data into actionable insights.

Key Responsibilities – What You’ll Do Every Day

  • Help Desk Support: Serve as the first point of contact for RCC and ADSC respondents, answering questions, troubleshooting technical issues, and providing courteous assistance throughout the study period.
  • Interactive Tracing: Identify and resolve problems with incomplete or inaccurate addresses and telephone numbers, using systematic tracing techniques to improve response rates.
  • Mailing & Receipt Management: Prepare, package, and dispatch the second questionnaire packet and appointment letters, while tracking inbound mail and confirming receipt of completed forms.
  • Data Management: Receive hard‑copy questionnaires, perform precise data entry, edit for consistency, and scan documents into the secure study database, maintaining strict confidentiality.
  • Collaborative Support: Work closely with cross‑functional team members—including survey coordinators, data analysts, and call center staff—to ensure all study components are completed on schedule.
  • Quality Assurance: Conduct regular audits of entered data, flag discrepancies, and implement corrective actions to uphold the highest standards of data quality.
  • Process Improvement: Suggest and help implement workflow enhancements that increase efficiency, reduce errors, and streamline communication between remote team members.

Essential Qualifications – What We Require

  • High school diploma or equivalent (GED accepted).
  • Demonstrated experience in clerical, customer service, or administrative support roles, preferably within a remote or virtual environment.
  • Exceptional written and verbal communication skills, with the ability to convey information clearly and professionally.
  • Strong attention to detail; a proven track record of maintaining accuracy when handling large volumes of data.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
  • Ability to work independently, prioritize tasks, and meet deadlines without constant supervision.
  • Excellent organizational and time‑management abilities, with a knack for juggling multiple responsibilities simultaneously.
  • Problem‑solving mindset; capable of identifying root causes and proposing practical solutions.
  • Commitment to handling confidential and sensitive information with the utmost discretion.
  • Reliable high‑speed internet connection and a suitable home office setup that meets arenaflex’s remote‑work standards.

Preferred Qualifications – Nice‑to‑Have Skills

  • Prior experience with survey platforms, data collection tools, or call‑center software.
  • Familiarity with data entry best practices, including double‑entry verification and data cleaning techniques.
  • Experience working in a research or academic environment, especially with longitudinal studies.
  • Basic knowledge of data privacy regulations (e.g., HIPAA, GDPR) and best practices for secure data handling.
  • Certification in office administration, data management, or related fields.

Core Skills & Competencies – What Will Make You Successful

  • Communication: Clear, courteous, and empathetic interaction with respondents and internal teammates.
  • Accuracy: Unwavering focus on detail to prevent errors that could compromise study results.
  • Self‑Motivation: Ability to stay productive and engaged while working remotely, with minimal oversight.
  • Technical Agility: Quick adaptation to new software tools, platforms, and evolving processes.
  • Team Collaboration: Openness to sharing knowledge, providing feedback, and supporting colleagues across time zones.
  • Adaptability: Flexibility to shift priorities as study phases change, ensuring continuity and success.
