Why This Role Matters

In today’s complex medical landscape, accurate billing and exceptional customer service are the twin pillars that keep healthcare operations running smoothly. As a Medical Billing Customer Service Representative at arenaflex, you will be the vital link between patients, providers, and payers, ensuring that financial transactions are processed correctly while delivering a supportive, empathetic experience to every caller. Your expertise will directly influence patient satisfaction, revenue integrity, and the overall reputation of arenaflex as a trusted partner in healthcare.

Key Responsibilities

In this fast‑paced, call‑center environment, you will be expected to master a variety of tasks that blend technical billing knowledge with outstanding interpersonal skills. Your day‑to‑day duties will include, but are not limited to:

  • Operating the patient accounting system to enter, verify, and reconcile billing data with precision.
  • Serving as the primary point of contact for inbound customer service calls, providing clear, courteous, and solution‑focused assistance.
  • Managing a high volume of calls while maintaining composure, professionalism, and a positive demeanor.
  • Conducting real‑time claim status checks, investigating denials, and verifying eligibility through online payer portals.
  • Collaborating with internal teams—such as coding, finance, and clinical staff—to resolve billing discrepancies and improve workflow efficiency.
  • Educating patients on billing statements, insurance coverage, and payment options, ensuring they understand their financial responsibilities.
  • Documenting all interactions accurately in the system to maintain a complete audit trail.
  • Meeting daily production targets and quality standards while adhering to compliance regulations (HIPAA, Medicare guidelines, etc.).
  • Continuously updating knowledge of CPT, ICD‑10, and HCPC coding standards to guarantee accurate billing.
  • Participating in ongoing training sessions and sharing best practices with peers to elevate the overall performance of the billing team.

Essential Qualifications

To excel in this role, you must bring a solid foundation of experience and knowledge that aligns with the demands of medical billing and customer service:

  • Two years of recent professional medical billing collection experience—demonstrated ability to process claims, handle denials, and manage patient accounts.
  • Two years of customer service experience—preferably in a call‑center or high‑volume environment, with a track record of delivering exceptional service.
  • Hands‑on experience with Medi‑Cal, Medicare, HMO, and PPO insurance plans, including familiarity with payer-specific rules and reimbursement structures.
  • Proficiency in navigating online payer portals to check claim status, resolve denials, and verify eligibility in real time.
  • Solid working knowledge of Microsoft Word and Excel, enabling you to generate reports, track metrics, and manipulate data efficiently.
  • Understanding of medical coding systems—CPT, ICD‑10, and HCPC—to ensure accurate claim submission.
  • Demonstrated ability to multitask effectively, balancing call handling, data entry, and problem resolution without sacrificing quality.

Preferred Qualifications & Additional Skills

While not mandatory, the following attributes will set you apart from other candidates and accelerate your success at arenaflex:

  • Certification in medical billing or coding (e.g., Certified Professional Biller – CPB, Certified Coding Specialist – CCS).
  • Experience with electronic health record (EHR) systems such as Epic, Cerner, or NextGen.
  • Familiarity with revenue cycle management (RCM) software platforms.
  • Advanced Excel skills, including pivot tables, VLOOKUP, and macro creation.
  • Strong analytical mindset with the ability to interpret billing trends and suggest process improvements.
  • Excellent written communication skills for drafting clear, concise email correspondence and documentation.
  • Demonstrated empathy and patience when dealing with patients facing financial stress or complex insurance issues.
