Position Overview

The Conference & Event Services Customer Service Specialist – Student Specialist is a seasonal, student‑focused role that operates much like a hotel front‑desk attendant for arenaflex’s summer conference housing. You will be the first point of contact for conference attendees, workshop participants, and visiting scholars, providing warm welcomes, efficient check‑in/check‑out procedures, and reliable information about arenaflex’s facilities and services. This position offers a unique opportunity to develop professional hospitality skills while contributing to the success of high‑profile academic events.

Key Responsibilities

  • Guest Reception & Front‑Desk Operations: Greet guests with a polished, professional demeanor; manage the check‑in and check‑out process for summer housing, including key distribution and collection.
  • Information Hub: Provide accurate, concise information about conference schedules, arenaflex campus resources, local attractions, and transportation options.
  • Security & Safety Compliance: Follow established security protocols when handling room keys, verify guest identities, and ensure that safety procedures are documented in the housing roster.
  • Shift Communication: Record shift details, guest notes, and any incidents in the log book; communicate essential information to the next shift, housekeeping staff, and conference service teams.
  • Team Collaboration: Work closely with the Conference Services Staff, Residence Hall Housekeeping, and other campus departments to coordinate guest needs and resolve unexpected issues.
  • Professional Appearance & Punctuality: Maintain a clean, presentable appearance; arrive on time for scheduled shifts and arrange approved substitutes if you are unable to work.
  • Availability Management: Update your availability and request days off in accordance with arenaflex’s scheduling deadlines.
  • Distraction Management: Minimize interruptions from visitors, personal devices, and non‑essential conversations while on duty to ensure focused service delivery.

Essential Qualifications

  • Current enrollment as a student at arenaflex (or a partner institution) with eligibility to work a fixed‑term, seasonal position.
  • Strong interpersonal skills and a genuine willingness to assist guests, especially during unexpected situations.
  • Prior experience in customer service, hospitality, or conference support is preferred but not required.
  • Excellent verbal and written communication abilities; capacity to convey information clearly to diverse audiences.
  • Demonstrated reliability—punctuality, attendance, and the ability to follow through on commitments.
  • Basic proficiency with computer systems for logging guest information and generating reports.
  • Ability to lift and move light luggage or equipment (up to 25 lb) as part of routine duties.
