Position Overview

arenaflex is seeking motivated, detail‑oriented individuals to join our growing Remote Data Entry team. As a Data Entry Specialist you will be the backbone of our document production pipeline, ensuring that every legal filing—whether a summons, subpoena, or motion—is accurately captured, verified, and ready for delivery to our network of process servers. This full‑time, remote role is open to candidates residing in Indiana, Iowa, Wisconsin, North Dakota, Kentucky, Alabama, Florida, Oklahoma, Michigan, North Carolina, or South Carolina. You will work closely with our Quality Control (QC) crew, client service managers, and technology teams to maintain the highest standards of data integrity and compliance.

Key Responsibilities

Document Processing & Verification

  • Review incoming legal documents, emails, and scanned files for completeness and accuracy.
  • Enter client‑provided data into arenaflex’s proprietary case management system with meticulous attention to detail.
  • Perform routine quality checks, cross‑referencing entries against source documents to identify and correct discrepancies.
  • Maintain organized digital filing structures that enable rapid retrieval and auditability.

Issue Resolution & Escalation

  • Investigate data inconsistencies, missing information, or formatting errors as they arise.
  • Communicate promptly with internal teams or external clients to obtain clarification or additional documentation.
  • Escalate complex or time‑sensitive issues to senior QC personnel or the Operations Manager, ensuring that service level agreements (SLAs) are met.

Continuous Learning & Process Improvement

  • Participate in ongoing training sessions covering legal terminology, industry best practices, and new software functionalities.
  • Contribute ideas for workflow enhancements, automation opportunities, and error‑reduction strategies.
  • Assist with special projects, such as data migration, system testing, or the creation of standard operating procedures (SOPs).

Essential Qualifications

  • High school diploma or GED required; additional education or certifications in legal studies, business administration, or related fields are a plus.
  • Demonstrated ability to perform repetitive tasks with a high degree of accuracy and speed.
  • Exceptional attention to detail, with a proven track record of catching even the smallest errors.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
  • Typing speed of 60–70+ words per minute with a low error rate.
  • Strong written and verbal communication skills, enabling clear interaction with teammates and clients.
  • Self‑motivated, reliable, and able to thrive in a remote work environment with minimal supervision.
  • Team‑oriented mindset, willing to collaborate, share knowledge, and support colleagues.

Preferred Skills & Competencies

  • Previous data entry or administrative experience in a legal, financial, or regulated industry.
  • Familiarity with legal document types (e.g., complaints, summonses, subpoenas) and basic courtroom procedures.
  • Experience using document management systems, CRM platforms, or case management software.
  • Basic understanding of data privacy regulations (e.g., HIPAA, GDPR) and best practices for handling sensitive information.
  • Problem‑solving aptitude, with the ability to think critically when faced with ambiguous or incomplete data.
  • Adaptability to evolving technology, including willingness to learn new tools such as OCR (optical character recognition) and AI‑assisted verification.
