Position Overview
The Data Entry Operator role is a pivotal entry‑level position within the District Clerk’s Office at arenaflex. Reporting to senior clerical staff, you will be responsible for accurately posting financial documents, processing vendor payments, maintaining critical spreadsheets, and supporting the budgeting and utility billing functions. Key Responsibilities
Core Financial Posting Duties
- Post documents into arenaflex’s financial system, including payables, deposit warrants, journal vouchers, electronic transfers, and budget amendments.
- Verify that each document is complete, properly approved, and accurately coded before entry.
- Re‑verify postings for accuracy and resolve any discrepancies promptly.
Vendor Billing & Payment Processing
- Process vendor invoices for payment, confirming approvals, checking for past‑due balances, and ensuring correct cost allocations.
- Investigate and resolve payment disputes, acting as a liaison between vendors, program payers, and internal departments.
- Maintain up‑to‑date vendor records and support the annual cost‑analysis reports for utility accounts.
Spreadsheet Management & Data Integrity
- Create, update, and maintain spreadsheets that interface with arenaxflex’s financial and budgeting systems.
- Prepare advance travel expenditure vouchers and keep travel spreadsheets accurate and current.
- Log incoming information, manage client filing systems, and ensure confidentiality of all data.
Customer Service & Communication
- Answer division telephone calls, route inquiries, and take detailed messages.
- Provide courteous, professional assistance to internal staff, external vendors, and the public.
- Serve as a point of contact for utility companies and program payers, researching account discrepancies and facilitating resolutions.
Administrative Support & Team Collaboration
- Perform standard clerical functions such as keyboarding, faxing, copying, and filing.
- Assist the budget division in preparing budgetary documents for specific accounts.

Essential Qualifications
