Role Overview

Reporting to the Operations Manager, the Data Entry Supervisor will oversee the day‑to‑day activities of the Data Entry department. You will act as a bridge between the sales force, field technicians, and senior management, guaranteeing that data flows seamlessly through our systems. This position blends hands‑on data processing, team mentorship, process improvement, and cross‑functional collaboration—all within a supportive office environment that values professionalism and a positive attitude.

Key Responsibilities

  • Team Leadership & Supervision: Directly manage a team of 5‑10 Data Entry Specialists, providing coaching, performance feedback, and career development guidance.
  • Quality Assurance: Review and validate all incoming data for accuracy, completeness, and compliance with arenaflex standards before it is entered into the core security management platform.
  • Process Optimization: Continuously assess daily workflows, identify bottlenecks, and implement streamlined procedures that reduce errors and accelerate turnaround times.
  • Customer Interaction: Serve as the primary point of contact for sales representatives and managers in a dedicated phone queue, delivering prompt, courteous assistance and resolving data‑related inquiries.
  • Project Coordination: Partner with the Operations Manager to plan, prioritize, and review departmental projects, ensuring alignment with broader organizational goals.
  • Training & Development: Design and deliver onboarding and ongoing training programs for new and existing staff, covering software tools, data entry protocols, and best practices.
  • Issue Resolution: Proactively address departmental challenges, mediate conflicts, and maintain a professional work environment that meets scheduled deliverables.
  • Reporting & Metrics: Generate weekly and bi‑monthly performance reports, highlighting key metrics such as entry accuracy rates, processing times, and customer satisfaction scores.
  • Cross‑Functional Representation: Attend internal meetings and external training sessions on behalf of the Data Entry team, advocating for resources and sharing insights that benefit the entire organization.
  • Hands‑On Support: Step in to perform Data Entry Specialist duties during peak periods or staffing gaps, ensuring uninterrupted service delivery.

Essential Qualifications

  • High school diploma or GED required; additional coursework in business administration, information systems, or a related field is a plus.
  • Minimum of two years of experience in alarm monitoring, order entry, or a comparable data‑intensive environment.
  • Demonstrated supervisory or team‑lead experience, preferably within a security, utilities, or service‑oriented industry.
  • Exceptional attention to detail, with a proven track record of maintaining high data accuracy.
  • Strong written and verbal communication skills, capable of translating technical notes and client instructions into clear, actionable data entries.
