Key Responsibilities

Customer Interaction & Communication

  • Respond promptly and professionally to inbound customer inquiries via telephone, email, live chat, and social media platforms.
  • Provide clear, accurate information about service offerings, pricing structures, warranty coverage, and promotional programs.
  • Maintain a courteous and empathetic tone, ensuring each customer feels heard and valued.

Appointment Scheduling & Follow‑Up

  • Coordinate service appointments using arenaflex’s integrated scheduling system, balancing technician availability with customer convenience.
  • Send confirmation emails, text reminders, and post‑service follow‑up messages to reinforce a seamless experience.
  • Proactively identify opportunities for upselling additional services (e.g., tire rotations, fluid checks) when appropriate and aligned with customer needs.

Information Management & Documentation

  • Accurately record all customer interactions, service requests, and vehicle details in the CRM system.
  • Update service orders, work orders, and customer profiles to reflect the latest status and any special instructions.
  • Generate daily reports on appointment volume, customer satisfaction metrics, and service lead conversion rates for management review.

Collaboration with Service Advisors & Technicians

  • Partner closely with service advisors to ensure that every appointment is fully prepared with the necessary parts, tools, and technician assignments.
  • Facilitate clear communication between customers and technicians, translating technical jargon into understandable language.
  • Assist in resolving any service‑related concerns or complaints, escalating complex issues to the Service Manager when needed.

Vehicle Valet & After‑Hours Support

  • Provide valet assistance for customer vehicles after 4:30 pm, ensuring cars are safely parked, cleaned, and ready for the next day’s service.
  • Maintain a clean, organized service lot and adhere to safety protocols at all times.

Essential Qualifications

  • Prior customer service experience in a high‑volume, fast‑paced environment, preferably within automotive or related service industries.
  • Exceptional verbal and written communication skills, with the ability to convey technical information in a friendly, easy‑to‑understand manner.
  • Demonstrated ability to multitask, prioritize competing demands, and manage time effectively.
  • Basic knowledge of automotive service terminology, maintenance schedules, and common repair procedures (a plus, not a requirement).
  • Valid driver’s license and clean driving record, enabling you to move vehicles on the service lot as needed.
  • Eligibility to qualify for arenaflex’s company insurance program, meeting all stipulated requirements.

Preferred Qualifications & Additional Assets

  • Experience using dealership management systems (DMS) such as Reynolds & Reynolds, CDK Global, or similar platforms.
  • Familiarity with CRM tools like Salesforce, HubSpot, or proprietary arenaflex solutions.
  • Previous exposure to appointment‑setting software, online chat platforms, or virtual customer support tools.
  • Certification in automotive service fundamentals (e.g., ASE entry‑level certification) or a related technical background.
  • Demonstrated track record of meeting or exceeding service lead conversion targets.
