Job Summary

As a Virtual Customer Scheduling Clerk at arenaflex, you will be responsible for interacting with individuals, their families, and/or referring providers with professionalism, compassion, and a customer-centric mindset. You will work remotely in a fast-paced virtual environment, providing exceptional customer service and ensuring a smooth scheduling process for those seeking mental and behavioral health services. Your primary goal will be to provide timely and accurate scheduling support to our clients, while maintaining confidentiality and security of client information in accordance with company policies and HIPAA regulations.

Key Responsibilities

Answering Inbound Calls and Emails: Respond to incoming calls and emails from individuals, their families, and/or referring providers seeking mental and behavioral health services, providing clear and concise information about our services and answering any questions or concerns they may have.

  • Scheduling Appointments: Accurately schedule appointments for clients with clinicians based on their needs and availability, ensuring that all client information and scheduling is accurate and up-to-date.
  • Collaborating with Internal Teams: Work closely with internal teams to ensure seamless communication and coordination, maintaining confidentiality and security of client information at all times.
  • Maintaining Confidentiality and Security: Adhere to company policies and HIPAA regulations to maintain the confidentiality and security of client information, ensuring that all sensitive information is handled with care and discretion.
  • Proactive Scheduling: Proactively reach out to clients to schedule appointments, reschedule appointments, and confirm appointments, ensuring that our clients receive timely and accurate scheduling support.
  • Utilizing Scheduling Software: Effectively use scheduling software and other tools to ensure efficient and organized scheduling processes, minimizing errors and maximizing productivity.

Qualifications

Education: High school diploma or equivalent required; Bachelor's degree in psychology, social work, or related field preferred.

  • Experience: 1-2 years of experience in customer service or scheduling role, preferably in a healthcare or mental healthcare setting.
  • Communication Skills: Excellent communication skills, both verbal and written, with the ability to maintain a professional and empathetic demeanor at all times.
  • Time-Management and Organizational Skills: Strong time-management and organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Technical Skills: Proficient in using computer software and applications, with knowledge of scheduling software a plus.
  • Adaptability: Ability to work remotely and adapt to a virtual working environment.
  • Knowledge of Mental and Behavioral Health Services: Basic knowledge of mental and behavioral health services and terminology preferred.

Compensation, Perks, and Benefits

We offer a competitive salary and comprehensive benefits package, including:

  • Salary: $60,000 - $70,000 per year (remote, Colorado Springs, Colorado, US).
