Responsibilities

As a Customer Support & Administrative Assistant at arenaflex, you'll be responsible for:

  • Answering incoming phone calls from homeowners interested in window replacement and impact window services, providing exceptional customer service and resolving any issues that may arise
  • Handling outbound follow-up calls on website form submissions and marketing leads to maximize conversion opportunities, ensuring that every lead is followed up on and converted into a sale
  • Professionally collecting customer information and accurately inputting all data into our CRM system, ensuring that our sales team has the information they need to close deals
  • Scheduling appointments for sales representatives to visit customers' homes for quotes and consultations, ensuring that every customer is seen in a timely manner
  • Efficiently assigning leads to available sales team members based on their schedules and availability, ensuring that every lead is followed up on and converted into a sale
  • Coordinating automated text message confirmations and follow-up communications to enhance customer experience, ensuring that every customer feels valued and supported
  • Proactively following up with sales representatives after customer appointments to gather outcome information, ensuring that our sales team is informed and able to make data-driven decisions
  • Ensuring that all customer interactions, appointment results, and sales activities are properly documented in the system, providing a clear picture of our sales performance
  • Supporting sales team productivity by reminding representatives to complete their CRM entries and lead dispositions, ensuring that our sales team is always on top of their game
  • Taking on various administrative tasks during slower call periods to support overall business operations, ensuring that our business runs smoothly and efficiently
  • Assisting with general business support activities and special projects as the company grows, ensuring that our business is always moving forward and improving

Requirements

To be successful in this role, you'll need:

  • Excellent verbal communication skills in English, with a professional phone presence that will make our customers feel valued and supported
  • Spanish bilingual capabilities are strongly preferred, as we serve a diverse customer base and want to ensure that every customer feels welcome and supported
  • Previous customer service experience, particularly in phone-based roles within service industries, with a proven track record of providing exceptional customer service
  • Familiarity with CRM systems and accurate data entry skills, with the ability to learn new technology platforms and software systems quickly
  • Background in appointment setting and sales support activities is preferred, but not required
