Administrative Assistant & Operations Coordinator

Position Overview We are seeking a flexible, highly organized Administrative Assistant & Operations Coordinator to support a growing coaching and consulting business serving financial advisors nationwide. This role combines administrative support, client coordination, event support, CRM organization, and operational assistance. The ideal candidate is adaptable, proactive, and excited to help build systems and processes within a fast-growing startup-style environment. The role will initially begin part-time with the expectation of quickly transitioning into a full-time opportunity for the right candidate.

Key Responsibilities

Administrative & Executive Support ● Manage calendars, scheduling, and speaking engagements ● Coordinate travel logistics and itineraries ● Ensure scheduling alignment to prevent overbooking and conflicts ● Assist with inbox organization and communication follow-up Client & Relationship Management ● Follow up with prospective and existing coaching clients ● Coordinate communication with financial advisors and industry contacts ● Maintain strong responsiveness and relationship management standards ● Track leads, conversations, and follow-up activity CRM & Systems Support ● Assist in building and organizing a CRM system for the coaching business ● Help evaluate and maintain technology and workflow systems ● Create organizational processes to improve efficiency and scalability Event Coordination ● Assist with planning and coordinating in-person events throughout the year ● Communicate with vendors and venue partners ● Coordinate logistics, materials, timelines, and pre-event organization ● Help manage event-related administrative details Marketing & Social Media Support ● Support basic social media posting and content coordination ● Help maintain visibility and communication consistency across channels Ideal Candidate Profile ● Strong organizational and multitasking abilities ● Comfortable working in a startup or fast-growing business environment ● Highly adaptable and flexible with changing priorities ● Strong communication and follow-up skills ● Experience coordinating schedules, events, or client communications ● Self-starter who can operate independently ● Positive and professional demeanor ● Comfortable wearing multiple hats and supporting multiple initiatives simultaneously Preferred Qualifications ● Experience supporting executives, coaches, consultants, or entrepreneurs ● Familiarity with CRM systems and workflow tools ● Event coordination experience preferred ● Social media coordination experience preferred ● Client-facing experience strongly preferred \n \n$500 - $800 a month Position Details ● Initially part-time with strong potential to become full-time quickly ● Remote position ● Must be available during U.S. Eastern Time business hours ● Opportunity to grow alongside an expanding coaching and consulting brand \n Why Join Assist World? 100% REMOTE $50 birthday bonus $200 testimonial bonus $500 entry monthly raffle NO TRACKER.
