Key Responsibilities
As a Retail Customer Service Representative at arenaflex, you'll be responsible for providing exceptional customer service, administrative support, and operational functions to internal team members. Your key responsibilities will include:
- Responding to client and carrier inquiries via phone or email, addressing concerns or redirecting as needed
- Issuing certificates of insurance (COIs) and assisting clients with policy audits or disputes
- Providing timely correspondence to carriers, brokers, and agents regarding policies and client requests
- Handling phone coverage and managing email correspondence across sales, support, and certificates
- Preparing and distributing required documents, including quotes, invoices, affidavits, and policy-related forms
- Maintaining accurate data records in the management system, adhering to processes and naming conventions
- Organizing tasks efficiently to meet deadlines, notifying management of potential delays or challenges
- Performing general clerical duties and adhering to departmental best practices
- Supporting the team's efforts to accomplish goals, help drive initiatives, support projects, fulfill tasks, and meet or exceed accountability metrics
- Managing leads and prospects using HubSpot (CRM) and the management system, ensuring accurate setup and assignment
- Overseeing the renewal tool, assigning accounts to appropriate team members and updating personnel records as needed
- Supporting team operations by preparing and distributing documents related to new and renewal business
- Conducting research and resolving issues related to invoicing, reconciliation, and payment processes
- Collaborating with team members during meetings to improve workflows and processes
Requirements and Qualifications
To be successful in this role, you'll need:
- A High School Diploma
- An active Property & Casualty License
- At least 2 years of experience in an Independent Insurance Agency as a CSR or in an administrative support role with data entry experience
- A broad understanding of Commercial Insurance Policies
- Experience with Microsoft Office Products, including Outlook, Excel, Word, Teams, and PowerPoint
- Familiarity with agency management systems and tools, such as AMS 360 (preferred), Applied Epic, Hawksoft
- Familiarity with HubSpot (CRM) is a plus

Compensation Range
We offer a competitive compensation range of $21/hr - $25/hr, depending on experience.
