Real Estate Transaction Coordinator & Executive Assistant

LEF Real Estate is seeking a Real Estate Transaction Coordinator & Executive Assistant to support transaction management and daily administrative operations. This role combines transaction coordination with executive support responsibilities, helping ensure deals move smoothly from contract to closing while maintaining organized systems and communication. The position is ideal for someone who is detail-oriented, organized, and comfortable managing multiple responsibilities in a remote real estate environment. Key responsibilities may include: Transaction Coordination

  • Managing real estate transactions from contract through closing
  • Tracking deadlines, contingencies, and required documentation
  • Coordinating communication between clients, agents, lenders, and escrow officers
  • Preparing and organizing transaction documents
  • Using transaction management tools to maintain workflow and compliance

Executive & Administrative Support

  • Managing calendars, appointments, and scheduling
  • Coordinating meetings and handling correspondence
  • Supporting event coordination such as open houses and client activities
  • Maintaining digital filing systems and records
  • Handling bookkeeping tasks using QuickBooks

General Operations Support

  • Managing data entry and document organization
  • Communicating with clients and vendors via phone and email
  • Preparing documents and reports using Microsoft Office and Google Workspace
  • Supporting overall office operations in a remote environment

Required background:

  • Experience as an executive assistant, administrative assistant, or transaction coordinator
  • Familiarity with real estate transaction processes (contracts, disclosures, escrow)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Ability to manage multiple priorities in a remote environment
  • Proficiency with Microsoft Office and Google Workspace

Preferred experience:

  • Experience with transaction management platforms
  • Familiarity with QuickBooks
  • Experience using e-signature tools such as DocuSign

Compensation:

  • $18 – $20 per hour
