Responsibilities

As a Data Entry & Office Assistant, you'll play a vital role in supporting our team's daily operations, ensuring seamless communication, and maintaining accurate records. Your responsibilities will include: ### Data Entry & Management

  • Accurately enter and update data into various systems, databases, or spreadsheets, ensuring data accuracy and integrity.
  • Organize and maintain electronic files for easy access and retrieval, adhering to arenaflex's data management policies.
  • Collaborate with team members to ensure data consistency and accuracy across all systems.

### Administrative Support

  • Assist in managing calendars, scheduling meetings, and handling correspondence, ensuring timely and effective communication.
  • Prepare and format documents, reports, and presentations as required, maintaining arenaflex's brand standards.
  • Support the team in daily office operations, including managing emails, phone calls, and customer inquiries, providing exceptional customer service.

### Document Handling

  • Process incoming and outgoing mail, packages, and faxes, ensuring timely and secure delivery.
  • Scan, file, and store documents in a digital format, maintaining arenaflex's document management policies.

### Record Keeping

  • Maintain up-to-date records for administrative and operational tasks, ensuring accuracy and compliance with arenaflex's policies.
  • Support other departments with basic administrative needs as necessary, providing a high level of service and support.

### Communication

  • Collaborate with team members to ensure smooth and efficient office operations, fostering open communication and teamwork.
  • Communicate effectively with clients, vendors, and other external stakeholders, representing arenaflex with professionalism and courtesy.

### Other Duties

  • Perform other related duties as assigned by the supervisor, demonstrating flexibility and a willingness to adapt to changing priorities.

Requirements

To succeed in this role, you'll need:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Proven experience in data entry, office administration, or related field, with a strong understanding of administrative processes.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software, with the ability to learn new tools and systems quickly.
  • Excellent typing skills with a high degree of accuracy, with the ability to work efficiently in a remote environment.
  • Ability to organize, prioritize, and manage multiple tasks, meeting deadlines and delivering high-quality results.
  • Strong written and verbal communication skills, with the ability to communicate effectively with team members, clients, and external stakeholders.
  • Self-motivated, with the ability to work independently and as part of a team, demonstrating a high level of initiative and accountability.
