About the Role

As an Office Executive at arenaflex, you will be responsible for providing high-level administrative support to senior management, ensuring seamless communication between internal teams, external partners, and stakeholders. You will maintain a well-organized and welcoming office environment, handle confidential information with discretion, and assist in organizing and coordinating company events and meetings.

Key Responsibilities

* Administrative Support: Provide high-level administrative support to senior management, including: + Calendar management + Travel arrangements + Expense reporting + Data entry and record-keeping

  • Communication: Act as a liaison between internal teams, external partners, and stakeholders, ensuring seamless communication through:

+ Email management + Phone and video conferencing + Meeting coordination

  • Office Management: Maintain a well-organized and welcoming office environment, including:

+ Managing supplies and equipment + Coordinating facilities and maintenance + Ensuring compliance with company policies and procedures

  • Data Handling: Handle confidential information with discretion, maintaining accuracy and confidentiality through:

+ Data entry and record-keeping + Document management + Secure data storage and disposal

  • Event Coordination: Assist in organizing and coordinating company events and meetings, including:

+ Venue selection and booking + Catering and logistics + Event promotion and marketing

  • Documentation: Prepare and edit documents, reports, and presentations with attention to detail, including:

+ Writing and editing reports + Creating presentations and proposals + Maintaining accurate records and files

  • Problem Solving: Proactively identify and address issues, finding effective solutions through:

+ Analyzing problems and identifying root causes + Developing and implementing solutions + Collaborating with colleagues to resolve issues

  • Collaboration: Work closely with colleagues to achieve team goals and objectives, including:

+ Participating in team meetings and discussions + Sharing knowledge and expertise + Contributing to team projects and initiatives

Qualifications

* Education: Bachelor's degree in Business Administration, Management, or a related field preferred

  • Experience: Proven experience in an administrative or executive support role, with a minimum of 2 years of experience
  • Skills:

+ Exceptional organizational and time management skills + Strong written and verbal communication skills + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) + Ability to handle sensitive and confidential information with integrity + Excellent interpersonal skills and a positive, professional attitude + Adaptability and the ability to thrive in a fast-paced, ever-changing environment

  • Certifications: Certified Administrative Professional (CAP) or Certified Executive Secretary (CES) certification preferred

Compensation and Perks
