Job Summary
As a Virtual Assistant at arenaflex, you'll play a vital role in supporting our team of attorneys and support staff in various departments, including Client Support, Reductions, Demands preparation, Medical Management, Intake Case Management, and Senior Case Management. Your primary responsibilities will include:
- Answering, screening, and forwarding incoming calls to the appropriate person
- Taking and delivering messages or transferring calls to voicemail when necessary
- Logging phone calls and documents into our online document management system
- Assisting office staff with clerical duties, such as faxing, copying, and organizing/maintaining files
- Maintaining frequent communication with clients and answering their questions
- Obtaining insurance coverage information in a timely manner
- Following up with medical treatments and ensuring proper care
- Obtaining medical provider records and bills
- Communicating with insurance companies on treatment status and updating adjuster information on the system
Key Responsibilities
* Provide exceptional customer service to clients, responding to their inquiries and concerns in a timely and professional manner
- Utilize strong communication and interpersonal skills to build rapport with clients, attorneys, and support staff
- Maintain accurate and up-to-date records of client interactions, phone calls, and documents in our online document management system
- Collaborate with office staff to ensure seamless communication and efficient workflow
- Develop and maintain a thorough understanding of arenaflex's policies, procedures, and systems
- Stay up-to-date with industry developments, best practices, and regulatory requirements
Essential Qualifications and Skills
* 2+ years of experience in customer service, sales, or a related field
- Strong written and verbal communication skills, with the ability to communicate effectively with clients, attorneys, and support staff
- Proficiency in Microsoft Office, Google Suite, or other productivity software
- Ability to work independently, with minimal supervision, and as part of a team
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Excellent problem-solving and analytical skills, with the ability to think critically and creatively
- Ability to adapt to changing priorities and workflows, with a flexible and positive attitude
- Strong attention to detail, with a focus on accuracy and quality
Preferred Qualifications and Skills
* Experience working in a law firm or related industry
- Knowledge of personal injury law, insurance, and medical procedures
- Familiarity with document management systems and electronic health records
- Experience with customer relationship management (CRM) software
- Certification in customer service, sales, or a related field
- Fluency in multiple languages, including Spanish
