Responsibilities: As a Virtual Travel Assistant/Customer Service Representative, you'll be responsible for the following key areas:

Customer Service:

  • Provide exceptional customer service by responding promptly to inquiries via phone, email, and chat, helping clients with travel bookings, itinerary customization, and resolving issues
  • Handle customer complaints and concerns in a professional and courteous manner, ensuring a high level of customer satisfaction
  • Collaborate with colleagues to resolve complex customer issues and provide solutions that meet client needs

Sales and Booking:

  • Recommend travel destinations, accommodations, transportation, and activities based on client preferences and budget
  • Facilitate bookings and manage reservations efficiently, ensuring accurate and timely processing of client requests
  • Stay up-to-date on travel trends, promotions, and special offers to provide clients with the best options and value

Research and Knowledge:

  • Stay updated on travel trends, visa requirements, weather conditions, and other relevant information for various destinations to provide accurate advice and recommendations
  • Conduct research on destinations, attractions, and activities to provide clients with the most up-to-date and relevant information
  • Develop and maintain knowledge of arenaflex's products and services, as well as industry trends and best practices

Documentation:

  • Assist clients with necessary travel documents such as visas, passports, and travel insurance
  • Ensure all documentation is accurate and meets regulatory requirements, minimizing the risk of delays or cancellations
  • Process and verify client documentation, ensuring compliance with arenaflex's policies and procedures

Problem Solving:

  • Handle any issues that arise during travel, including flight delays, cancellations, or changes to itineraries, ensuring minimal disruption to clients' plans
  • Develop and implement solutions to resolve complex customer issues, ensuring a high level of customer satisfaction
  • Collaborate with colleagues to resolve issues and provide solutions that meet client needs

Administrative Tasks:

  • Maintain detailed records of client interactions, bookings, and payments using CRM software
  • Process payments securely and efficiently, ensuring accurate and timely processing of client requests
  • Develop and maintain knowledge of arenaflex's administrative systems and procedures, ensuring compliance with company policies and procedures

Qualifications: To be successful in this role, you'll need:

Experience:

  • Previous experience in a customer service or sales role, preferably in the travel industry
  • Experience with booking systems and travel-related software is a plus
