Registrar Services Specialist III  American Public University System

American Public University System seeks a customer service and detail oriented individual who enjoys working with students via email and telephone. Successful candidates must be highly organized, able to multitask, and able to work with limited supervision.  This position will also assist with other duties as needed.  The Specialist supports the Office of the Registrar to include: degree program completion reviews for students applying for graduation, monthly certificate completion clearances, ongoing student communication regarding graduation and associated needs. Updating graduation records and working with other departments on final clearances for students ready to graduate.

The work schedule for this role is 11:30am-8pm, Monday-Friday

Responsibilities:

  • Complies with Family Educational Rights and Privacy Act (FERPA) when releasing information
  • Conducts program completion reviews to ensure successful completion of all program and University requirements before student graduates
  • Actively communicates with students in order to assist them in meeting graduation requirements such as completion of remaining courses, the required learning outcomes assessment test, end of program survey, FSA Exit interview, and outstanding balances due
  • Ensures all student needs and requests are met under service level agreements for program completion reviews and student communication
  • Partners with Sr. Manager in the resolution of program completion review issues for students
  • Coordinates with the Transfer Credit Evaluators, Advising, Academics, and Finance Departments regarding student’s graduation processing as appropriate
  • Performs other Functions of the Office of the Registrar to support APUS student body

 Required Skills:

  • Exceptional written and verbal communication and customer service skills
  • Ability to work under pressure, within deadlines, and independently
  • Understanding of online learning structure and purpose
  • Understanding of student development and learning

 Required Experience: 

  • Bachelor’s Degree required
  • General knowledge of transfer credit preferred

  • Excellent customer service skills
  • Effective verbal and written communications skills (including basic editing experience)
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Strong analytical, organizational and administrative skills
  • Knowledge of degree programs
  • Demonstrated ability to manage multiple projects under tight deadlines and meet department service level agreements
  • Contact (types and levels – internal and external)
  • Internal – all levels of the company
  • External – students, alumni, and vendors
