Job title: Library Specialist Company: Tohono O'odham Nation Job description: The position is located in Sells, AZ. Position Summary: Under general supervision, to assist Librarian to review, select, develop, implement and maintain library materials, services and programs. Will work directly in assisting customer, organizing library resources, promoting literacy and providing essential customer services to customers. The work is normally reviewed upon completion to ensure compliance with general organization/department goals, policies and procedures. Major work activities are covered by procedures or guidelines permitting flexibility in selecting methods to utilize and procedures to follow, determination of work priorities, and the planning and coordination of projects. Essential Duties and Responsibilities:
  • Sorts library materials in alphabetic, alphanumeric and numeric order, using adopted book classification system.
  • Arranges returned library materials on books carts and shelves library materials using adopted appropriate classification order.
  • Provides customer service including check-in and check-out of library materials.
  • Develops, implements, supports and assists with library services, programs and displays.
  • Prepares, maintains and analyzes daily, weekly, and monthly statistics.
  • Conducts and reviews physical inventory of library supplies and equipment inventories.
  • Trains and supervises summer youth employees and volunteers to work at the library desk on circulation duties and answering reference questions.
  • Addresses customer conduct or safety issues. May refer the issues to a supervisor or a member of management as needed.
  • Instructs and searches standard reference materials, including online sources/databases and the internet in order to answer customer reference questions.
  • Answer technical customer questions, including email, internet, printing and internet-browsing questions.
  • Provides afterschool tutoring to students in educational courses.
  • Promotes and encourages literacy in the community, schools and specialized events.
  • Oversee daily operation of the library under the directive of the Librarian or Education Administration.
  • Assists the Nation's personnel and any agency to coordinate Education-related programs and projects.
  • Issues borrowers' library identifications, locates and checks out materials to patrons, inspects returned materials for damage, computes records, and receives overdue fines.
  • Assists with workstation maintenance, turns on and off computers, maintains sign up and monitors the study rooms, handles lost and found items and performs housekeeping duties.
  • Review records to compile list of overdue materials and issues overdue notices to borrowers.
  • Shifts materials on shelf and performs shelf reading to ensure proper ease of locating information.
  • Enters cataloging data in library automated online system, or files card in card catalog.
  • Provides general information about library services and facilities.
  • Helps patrons in the use of public access catalog, library computer systems, and multimedia equipment.
  • Answers routine inquiries using standard bibliographic materials and/or computer data systems and refers those requiring further assistance to the immediate supervisor.
  • Searches standard print and online sources to verify bibliographic information on order requests.
  • Designs and prepares displays, bulletin boards, and exhibits of library materials and programs.
  • Produces handouts and instructional materials.
  • Participates in evaluating and developing new technology to improve services.
  • Performs other job related duties as assigned.

  • Knowledge of the Tohono O'odham culture, customs, and traditions.
  • Knowledge of applicable federal, state, tribal laws, regulations and requirements.
  • Knowledge of essential resources to support collaborative partnerships that facilitate strong library programming.
  • Knowledge of basic library reference resources.
  • Knowledge of library principles, practices, methods and materials.
  • Knowledge in records management procedures.
  • Knowledge in department organization, functions, objectives, policies and procedures.
  • Knowledge in circulation and library functions.
  • Skill in operating various word-processing, spreadsheets, and database software programs.
  • Skill in providing superior customer services to external and internal customers.
  • Skill in coordinating and prioritizing multiple tasks, projects and program activities.
  • Skill in planning and developing seasonal and specialized literacy programs.
  • Skill in public relations and public speaking.
  • Ability to communicate clearly with customers, co-workers and supervisors.
  • Ability to follow library policies, procedures, especially checking out items, and processing new materials.
  • Ability to teach and relay information that supports customer direct technology needs and supports completion of their computer use needs.
  • Ability to work with and troubleshoot office machines, such as copiers and printers.
  • Ability to discern need for and to provide immediate response to ensure safety of customers and staff.
  • Ability to demonstrate use of Microsoft Office Suite programs.
  • Ability to provide excellent communication skills, both written and verbal.
  • Ability to gain knowledge of library cataloging rules and procedures; library classification scheme; and check in and check out procedures.
  • Ability to be organized and effectively listen to and respond to patron inquires.
  • Ability to communicate efficiently and effectively both verbally and in writing
  • Ability to handle multiple tasks and meet deadlines.
  • Ability to work extended hours and various work schedules.
  • Ability to maintain privileged confidential information.
  • Ability to work independently and meet strict time lines.
Minimum Qualifications:
  • High School Diploma and one year experience in library work or public library environment.
  • Two or more years of front-line customer service experience.
  • Two years of proficient experience within the last 2 years, with Windows operating system, computer desktop, word processing, all-in-one-copy machines (print, copy, scan); mobile devices; smart phone; eReaders; and tablets.
Licenses, Certifications, Special Requirements:
  • Upon recommendation for hire, a criminal background and National FBI check is required to determine suitability for hire, including a 39-month Motor Vehicle Record.
  • May require possessing and maintaining a valid driver's license, (no DUIs or major traffic citations within the last three years).
  • If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.
  • Based on the department's needs, incumbents may be required to demonstrate fluency in both the Tohono O'odham Language and English as a condition of employment.
