Overview

We are seeking a highly strategic, solutions-oriented Legal Operations Specialist to support, scale, and streamline the operations of the Shutterfly Legal Department. This role partners closely with the Manager, Contracting & Efficiencies and Legal leadership to deliver operational excellence for the Legal department and cross-functional stakeholders. The ideal candidate brings deep experience in financial operations for Legal departments, operational excellence, and strategy for an in-house Legal team.  

Key Responsibilities

Financial Operations & Spend Management
  • Partner with Legal, Finance, and Procurement to support accurate forecasting, accruals, cost-control, and measurable ROI across the Legal Department
  • Lead day-to-day legal billing operations, including invoices and coding for law firms, and support legal spend management and reporting
  • Own the eBilling system and ensure accurate matter-level spend and settlement payments
  • Support annual budgeting cycles, rate negotiations, and fee arrangements to ensure value delivery from outside counsel and vendors.
  • Oversee outside counsel and legal vendor relationships, onboarding, and billing.
Legal Operations
  • Design and optimize legal workflows, policies, and processes to improve team efficiency. 
  • Implement and manage legal technology tools (e.g., CLM, eBilling, matter management, case tracking, AI tools), and assist with contract workflow management
  • Drive legal department KPIs, reporting, and dashboards to measure performance and value.
  • Manage legal tech stack and collaborate with IT and Procurement on system integrations and upgrades.
  • Identify skill gaps and collaborate with leadership to design development pathways for attorneys, paralegals, and operations staff.
  • Partner with Legal leadership to build a culture of continuous learning, professional growth, and operational excellence

Litigation Operational Support

  • Oversee eDiscovery processes, including matter intake, legal hold administration, vendor coordination, and defensibility workflows.
  • Partner with Litigation and IT on best‑practice technologies, protocols, and cost‑control strategies

Cross-Functional Collaboration

  • Partner with HR, Finance, IT, Compliance, and other departments on legal and operational initiatives.
  • Ensure smooth communication between legal and business stakeholders.

Knowledge Management

  • Maintain centralized repositories for contracts, templates, policies, and legal knowledge.
  • Support onboarding and ongoing upskilling of Legal team members by developing playbooks, process guides, and training materials.
  • Build project dashboards and reporting frameworks to track progress, risks, and business impact. 

Project & Change Management

  • Lead or support legal projects from planning to execution, including process improvement and change adoption.
  • Identify opportunities for automation and implement solutions to reduce manual workload.
 

Qualifications

  • Bachelor’s degree from an accredited institution.
  • 5+ years of experience in legal operations support, preferably in an in-house legal department.
  • Strong technical proficiency with legal systems related to eBilling or legal operations
  • Excellent organizational, communication, and interpersonal skills.
  • Proven ability to manage multiple priorities and workstreams in a dynamic environment.
  • High level of professionalism, exercising discretion, and sound judgment.
  • Ability to manage multiple workstreams in a dynamic, fast‑moving environment.

The compensation package for this role is based on multiple factors, such as job level, responsibilities, location, and candidate experience. The base pay ranges included below are specific to the locations listed, and may not be applicable to other locations.

California : [$69,000 - $97,250]

Connecticut and New York: [$69,000 - $89,000]

Colorado, Illinois, Minnesota and Washington: [$69,000 - $82,500]

Nevada: [$64,750 - $89,000]

Maryland and New Jersey: [$74,250 - $89,000]

Hawaii : [$64,750 – $77,500]

This opportunity can be remote, but candidates must reside in a state in which Shutterfly is registered to do business. This includes all US states except District of Columbia, North Dakota, Mississippi, Rhode Island, Vermont, and Wyoming.
