US INSURANCE SPECIALIST

Job Overview

We are seeking an experienced US Personal Lines Insurance Virtual Assistant. The ideal candidate is highly knowledgeable in US insurance processes, proficient in quoting and policy documentation, and comfortable working independently in a fast-paced remote environment.

This role requires hands-on experience with QQCatalyst and strong organizational and communication skills.

Key Responsibilities

1. Agency Management System (QQCatalyst)

  • Daily use of QQCatalyst
  • Processing and managing:
  • ACORD forms
  • Receipts and invoices
  • Certificates of Insurance (COI)
  • Evidence of Insurance (EOI)
  • Master COI and Master EOI documentation
  • Maintaining accurate and updated client records

2. Quoting & Carrier Portals

  • Quoting for Personal Lines (Auto, Home, Renters, etc.)
  • Quoting for Commercial Lines (General Liability, BOP, etc.)
  • Navigating multiple carrier websites efficiently
  • Comparing coverages and premiums
  • Preparing professional quote summaries
  • Sending clear and client-friendly quote emails

3. Documentation & File Management

  • Creating polished and organized PDF documents
  • Merging, editing, and formatting insurance documents
  • Maintaining structured digital filing systems
  • Organizing and naming files consistently for easy retrieval

4. Administrative & Reporting Tasks

  • Generating receipts and invoices
  • Data entry and policy updates
  • Using Excel for:
  • Tracking quotes and renewals
  • Organizing client data
  • Basic reporting and documentation

Required Skills & Qualifications

  • Proven experience in US Personal Lines Insurance
  • Strong working knowledge of QQCatalyst
  • Familiarity with ACORD forms and insurance documentation
  • Experience handling COI and EOI (including master versions)
  • Experience quoting with multiple US insurance carriers
  • Proficiency in Microsoft Excel
  • Strong PDF editing and document formatting skills
  • Excellent written English communication skills
  • Highly organized and detail-oriented
  • Ability to work independently with minimal supervision

Work Setup

  • Fully Remote
  • Must be available during US business hours
