The Role

As a Part-Time Data Entry Specialist – Purchasing, you will play a critical role in supporting the Supply Chain Operations of arenaflex. Your primary responsibilities will include:

  • Ensuring a smooth full-cycle process from order submission to receipt of goods in the warehouse
  • Reviewing and prioritizing incoming purchase orders from supply chain, sales, and marketing teams
  • Accurately inputting customer details, vendor agreements, compliance documents, and product specifications
  • Maintaining accurate records of vendor agreements, compliance documents, and product specifications
  • Addressing product concerns and questions regarding pricing and decoration capabilities
  • Reviewing and reconciling vendor invoices against purchase orders and received goods
  • Investigating and resolving discrepancies in invoicing promptly
  • Monitoring the status of open orders and proactively identifying any potential delays or issues
  • Ensuring all product and supplier information is accurately entered and maintained in the system
  • Working closely with the sales, marketing, and supply chain teams to ensure alignment on order requirements and priorities
  • Participating in cross-functional meetings to discuss procurement strategies and performance
  • Communicating any general supplier announcements or updates to the revenue teams
  • Performing other miscellaneous tasks as the business needs demand

The Ideal Candidate

We're looking for a self-motivated individual who is passionate about delivering exceptional customer service and communication to both internal and external stakeholders. The ideal candidate will possess:

  • Strong ability to manage data accurately and meticulously
  • Excellent verbal and written communication skills
  • Experience working with multiple vendors to fulfill POs
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Familiarity with Salesforce
  • Experience with screen printers and embroiderers (a plus, but not required)
  • Enjoys working in a collaborative environment where everyone pitches in
  • Ability to work under pressure and tight deadlines
  • Thrives in a fast-moving environment where things are always changing
  • Questions the status quo and isn't afraid to speak up

Preferred Education & Experience

* Fundamental computer literacy required

  • Experience with Google Suite or Microsoft Office
  • Understanding of procurement processes, vendor management, and compliance regulations
  • 1-3 years of experience in procurement, supply chain, or operations, preferably in the promotional products industry
