We are a dynamic duo of companies, Teen FND Academy (TFA) and Your Pediatric Psychologist (YPP), both founded on the principle of empowering teens and their families to overcome Functional Neurological Disorder (FND) and other challenges. TFA offers a structured online coaching program, while YPP provides evidence-based psychological treatments, including Cognitive Behavioral Therapy (CBT), Biofeedback, Hypnosis, and Acceptance and Commitment Therapy (ACT). Our mission is to foster resilience, health, and independence in every teen and family we serve. We are a small but rapidly growing team, looking for a dedicated and flexible Executive Assistant to support our President and CEO in driving our companies forward.

About the Role

The Executive Assistant will play a pivotal role in our organization, providing high-level administrative support to our founder and leadership team. This is a 100% remote position, offering the flexibility to work from anywhere, at any time, as long as you have a reliable internet connection. As an Executive Assistant, you will be responsible for managing operations, organizing tasks, and ensuring projects stay on track. Your proactive approach, exceptional organizational skills, and ability to adapt to shifting priorities will be essential in driving our companies' success.

Key Responsibilities

  • Provide administrative support to the founder, including managing and optimizing their calendar, handling email correspondence, preparing meeting agendas, and taking notes.
  • Act as a liaison between leadership, clients, and contractors, ensuring seamless communication and task coordination.
  • Track progress on key initiatives, create and maintain project documentation and reports, and identify areas for process optimization.
  • Draft and edit correspondence, presentations, and documents, and act as the founder's representative in professional settings.
  • Plan and arrange travel itineraries, accommodations, and logistics, and conduct research to support decision-making.
  • Generate reports and summaries for leadership review, and maintain and improve organizational systems and tools.

Essential Qualifications

To be successful in this role, you will need:

  • Proven experience as an Executive Assistant or in a similar role supporting leadership in a fast-paced environment.
  • Exceptional organizational and time-management skills, with the ability to adapt to shifting priorities and thrive in a high-growth setting.
  • Excellent written and verbal communication skills, with the ability to draft and edit correspondence, presentations, and documents.
  • Proficiency with tools such as Google Workspace, Asana, Slack, Kajabi, Copper CRM, Notion, and Zoom.
  • A high level of discretion and professionalism in handling sensitive information.

Preferred Qualifications

While not essential, the following qualifications would be an asset:

  • Familiarity with online coaching programs or mental health practices.
  • Experience working in a remote or virtual team environment.
  • Knowledge of project management methodologies and tools.
