We're on the lookout for a highly skilled and experienced Executive Assistant to join our team, providing administrative support to our Vice Presidents and contributing to the seamless execution of our global sponsorship initiatives.

The Role: Executive Assistant - Global Brand Sponsorships & Experiences

This is a unique opportunity to work closely with senior leaders, managing their calendars, coordinating travel arrangements, and ensuring the smooth operation of the team. As an Executive Assistant, you will be the linchpin in our team's organization, leveraging your exceptional administrative skills, discretion, and ability to work under pressure to drive our objectives forward.

Key Responsibilities:

  • Calendar management for senior leaders, ensuring timely and efficient scheduling of meetings and events.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and car services, tailored to the needs of our leaders and partners.
  • Manage the logistics of meeting administration, including in-person meetings, telepresence, and WebEx, ensuring all necessary materials and equipment are available.
  • Procure office supplies, equipment, and services, adhering to company policies and procedures.
  • Maintain accurate and up-to-date records, including headcount reporting, organizational charts, and departmental distribution lists.
  • Prepare and process expense reports and invoices, ensuring compliance with company policies and timely submission.
  • Facilitate internal and external events, including team outings, guest management, and catering arrangements, showcasing our commitment to excellence in every detail.
  • Collaborate with other Executive Assistants across the organization to align on best practices and office operations.
  • Assist with special projects and initiatives as required, demonstrating flexibility and a proactive approach.

Essential Qualifications:

  • 3+ years of experience as an Executive Assistant to a senior leader, with a proven track record of managing complex calendars, travel arrangements, and administrative tasks.
  • Strong organizational, administrative, and interpersonal skills, with the ability to work independently and as part of a team.
  • Excellent attention to detail, with a focus on accuracy, quality, and timeliness in all tasks.
  • Proficient in MS Office (Word, Excel, PowerPoint) and internal AXP tools and systems, including MS Outlook, Ariba, Concur, Payroll, and myHR.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong verbal and written communication skills, with the ability to interact effectively with executives, colleagues, and external partners.

Preferred Qualifications:

  • Familiarity with American Express policies and office procedures.
  • Experience in managing global sponsorships or events.
  • Knowledge of CRM systems and marketing platforms.
