Job Summary

The Information Section Assistant (Data Entry Clerk) will provide administrative support to the Hong Kong Purchasing Office purchasing group. The successful candidate will be responsible for data entry of orders into internal systems, running pre-set reports to gain market insights, and managing the Corporate Import Demand process from start to finish. This is a full-time opportunity with flexible working hours, including 2 days of work-from-home flexibility.

Key Responsibilities

  • Plan and prepare orders, request amendments, and new vendor account setups with all relevant import data.
  • Develop and maintain weekly schedules for order completion.
  • Compile data and ensure established rules and guidelines are followed.
  • Deliver orders consistently, maintaining quality of output and practicality of work.
  • Collaborate with various internal teams to gather and enter data required to produce a Purchase Order (PO).
  • Escalate system issues to the relevant teams and follow up with them to ensure timely resolution.
  • Regularly update all relevant stakeholders on project/task status and ensure all tasks are completed within the required timeframe.
  • Demonstrate flexibility and willingness to assist colleagues when needed, such as during absences.

Essential and Preferred Qualifications

Requirements:

  • At least 2 years of administrative experience (new graduates will be considered).
  • HKDSE or HKCEE or above.
  • Conversational English skills; proficiency in other languages or Chinese dialects is an asset.
  • Proficient in MS Excel, with working knowledge of MS Word and PowerPoint.
  • Excellent communication skills and ability to build both internal and external relationships.
  • Ability to work independently, solve problems, suggest, and implement solutions.
  • Detail-oriented, inquisitive, clear communicator, and driven individual.

Preferred Qualifications:

  • Experience in data entry and purchasing operations.
  • Familiarity with enterprise resource planning (ERP) systems.
  • Strong analytical and problem-solving skills.
